The scope encompasses closet, kitchen, bedroom, storage room, garage, and whole-unit organization; inventory and documentation including photography, written inventory creation, and digital reporting; hazardous material identification and segregation (paint, solvents, chemicals, aerosols, batteries, fluorescent lamps, sharps, and electronic waste); sorting by retention, recycling, trash, and donation categories; and provision of packing materials (boxes, paper, bubble wrap, stretch wrap, tape, and labels). AHA properties include senior housing (Anne B Diament, Independence Plaza, Littlejohn Commons), family housing (China Clipper, Esperanza, Parrot Village, Parrot Gardens, Eagle Village, Rosefield Village, Everett Commons, Bay 37 Condos, The Poplar), and scattered sites. Contractors must provide detailed reporting including dates of service, property addresses, work completion descriptions, photographic documentation, inventory logs, box counts, and disposal volume estimates.
Compensation is structured on a not-to-exceed basis with per-unit or per-assignment pricing across service categories for fiscal years 2026–2030, with contractor-specified annual percent increases. Contractors must provide cost proposals indicating monthly or annual billing preference. The initial contract term may be extended up to a maximum total duration of 60 months through written amendments. Contractors must maintain Commercial General Liability of $2 million per occurrence, Automobile Liability of $1 million, Workers' Compensation with Statutory Limits and Employers' Liability of $1 million per accident, and Professional Liability of $2 million per occurrence. Conditional requirements include Tenant Discrimination and Cyber Liability insurance of $2 million per occurrence if handling Personally Identifiable Information. All policies must name AHA as additional insured on a primary, non-contributory basis with 30-day cancellation notice. Contracts exceeding $5,000 require payment via Electronic Funds Transfer or Automated Clearing House. Prevailing wage standards apply where required by federal and state law.
