About this opportunity

The City and County of Denver's Department of Parks and Recreation (DPR) is seeking a qualified contractor to provide comprehensive fitness equipment repair and preventative maintenance services across thirty municipal recreation centers. The procurement is structured as a Request for Proposals (RFP) targeting contractors capable of servicing cardio and strength training equipment, primarily from manufacturers Life Fitness and Precor. Key deliverables include annual safety inspections, regular maintenance visits, emergency repairs, and comprehensive equipment servicing, excluding work covered under existing warranties. Evaluation criteria will assess proposers based on qualifications, experience and capacity, past performance, pricing structure, and diversity practices. Critical dates include a virtual pre-proposal meeting scheduled for July 15, 2025, at 10:00 AM MT, with final proposals due by 12:00 PM MT on July 31, 2025. Proposers must submit detailed documentation including a Proposer Responses Form, Price Chart, Contract Certification Form, and Diversity & Inclusiveness Form, demonstrating their technical expertise and service capabilities.

The RFP encourages diverse participation, with specific attention to inclusiveness practices in the evaluation process. While no explicit set-aside designations are specified, the City appears to value contractors who can demonstrate organizational diversity and inclusive business practices. The contract is anticipated to be executed on January 1, 2026, with a three-year term and a maximum compensation ceiling of $350,000. Pricing will be structured with labor rates marked up over prevailing wage rates, and materials priced with a fixed percentage markup over cost. Different rates are established for normal business hours (7:00 AM to 6:00 PM Monday-Friday) versus after-hours and weekend work. The City reserves significant discretion in the procurement process, including the right to terminate, suspend, or modify the selection process and reject any or all submissions. Proposers must hold appropriate manufacturer certifications and demonstrate experience working with large commercial entities, with the ability to provide rapid response times and comprehensive equipment maintenance services.
