SECTION 2 – Scope of Work
A. GENERAL DESCRIPTION:
The Department of Parks and Recreation (“DPR”) is seeking cardio and strength equipment repair and maintenance services on a continuing basis, and DPR seeks to establish a qualified contractor to provide these services throughout Denver.
DPR currently has thirty (30) recreation centers that provide a variety of strength and cardio equipment for public use. Existing equipment includes but is not limited to: Life Fitness and Precor. The City is soliciting proposals for the repair and maintenance of this equipment, including annual safety inspections where required, regular maintenance visits, and emergency repairs. This RFP does not include repair work covered under existing warranties.
The contractor will be required to provide the services described in the Scope of Services below, on an as-needed basis to any of DPR’s thirty (30) recreation centers, plus the Denver Employee Fitness Center located at 201 W. Colfax Ave, Denver CO 80202.
A list of DPR recreation centers can be found at the following link:
https://www.denvergov.org/Government/Agencies-Departments-Offices/Agencies-Departments- Offices-Directory/Parks-Recreation/Recreation-Centers-Pools/Recreation-Centers
Note: Platt Park Rec Center does not have serviceable equipment.
B. CONTRACT VALUE:
The City anticipates awarding a contract to one (1) contractor with a maximum compensation amount of $350,000 over the course of a three (3) year term.
C. SCOPE OF SERVICES
1. Annual Safety Inspections An annual safety inspection shall be performed on every piece of equipment, including cardio and strength, at every recreation center. Annual safety inspections are typically performed during the first quarter of the year. Contractor shall look for worn cables, frayed metal, bearings and bushings, loose nuts and bolts, cracked frames, rust and corrosion, basic wear and tear, and cracked or torn upholstery. Contractor shall submit an Evaluation Report to the DPR Fitness Supervisor. The Evaluation Report shall include the center location, overall summary, and a list of what repairs are necessary for each piece of equipment, if any. Equipment varies in years of use from one month to ten years.
2. Equipment Repairs Repairs and inspections must be done during the normal business hours of each recreation center, unless special arrangements are made with the facility manager.
All repairs must be performed in accordance with manufacturer’s specifications. Repair or replacement parts for existing equipment may be accomplished by the contractor using other than original equipment manufacturer's (OEM) parts. However, all parts or equipment furnished must equal or exceed that of the original equipment manufacturer(s).
https://www.denvergov.org/Government/Agencies-Departments-Offices/Agencies-Departments-Offices-Directory/Parks-Recreation/Recreation-Centers-Pools/Recreation-Centers https://www.denvergov.org/Government/Agencies-Departments-Offices/Agencies-Departments-Offices-Directory/Parks-Recreation/Recreation-Centers-Pools/Recreation-Centers
When repair of a piece of equipment is necessary, the recreation center will submit a repair request form for internal approval by the DPR Fitness Supervisor. Once approval is granted, the Fitness Supervisor will contact the contractor for services.
The contractor shall prepare a written quote, including estimated cost for replacement parts and number of labor hours to complete repairs. This written quote must be approved by the Fitness Supervisor prior to commencement of work. If multiple pieces of equipment are being repaired on the same quote; parts, labor, freight and any other charges will be allocated per piece of equipment. The DPR Fitness Supervisor will notify the contractor once a quote is approved.
Repairs are to be completed as soon as possible after the quote is approved. If repairs will take more than 72-hours to complete, the contractor shall notify the DPR Fitness Supervisor of the estimated timeline.
