About this opportunity
The City of Wausau and the City-County Information Technology Commission (CCITC) are seeking a qualified audiovisual (AV) contractor to furnish and install a comprehensive audio, video, and control system for the City Hall Council Chambers. The procurement involves replacing the existing AV infrastructure with a new system that supports high-quality local and remote meeting capabilities, including 16 boom microphones, two cordless microphones, an 82" TV, two 52-55" TVs, audio amplifiers, signal processors, and a Crestron control system. Key deliverables include integration with existing Cisco video conferencing equipment, connections to current cameras, hearing support systems for individuals with impairments, and compatibility with the existing voting system. The evaluation criteria will weight requirements fit at 45%, cost at 20%, performance record at 15%, project approach at 10%, and economic/technical resources at 10%. Proposers must submit both printed and electronic copies by 4:00 p.m. CDT on October 25th, 2024, with a mandatory in-person and virtual Q&A session scheduled for October 14th. The City anticipates contract evaluation in November 2024 and contract signing between December 2024 and January 2025.
No specific set-aside designations or restrictions on responding organizations were explicitly detailed in the documents. The current system includes existing Cisco video conferencing equipment, cameras, lighting systems, voting systems, and speakers that will require integration with the new AV infrastructure. The Council Chambers is a 60'x30' room with capacity for 144 people, including 12 council member positions and 5 staff positions. While no precise budget range was specified, the contract will include provisions for a one-year warranty and ongoing maintenance support with defined service level agreements (SLAs). Payment terms will be structured with no more than 25% due at contract signing and the final 20% withheld until final acceptance by the City and CCITC. Construction work may involve electrical modifications, wall reconstruction, and counter area modifications, which can be either subcontracted by the AV provider or handled separately. The successful contractor will need to demonstrate comprehensive technical capabilities and a robust understanding of municipal meeting technology integration.
