About this opportunity
The City of Dania Beach, Florida is soliciting proposals through a Request for Proposal (RFP) process for CCTV Preventative Maintenance, Installation, and Network Cabling Services (Project 26-007, Re-Solicitation). The procurement seeks a qualified Florida-based contractor to provide comprehensive closed-circuit television system services across multiple municipal facilities, including parks, public services buildings, water plants, community centers, and oceanfront properties. The scope of work encompasses quarterly preventative maintenance inspections for approximately 195 cameras deployed across nine city locations, emergency repair services with defined response times based on outage severity (3-8 hours for critical outages, 5 hours for major outages affecting 4+ cameras, and 8 hours for minor outages affecting 1-3 cameras), installation of new or replacement CCTV cameras compatible with the City's standardized Motorola Solutions Avigilon Alta Video Management System, and low-voltage network cabling services. Proposals must be submitted electronically via OpenGov at https://procurement.opengov.com/portal/daniabeachfl no later than Monday, May 11, 2026 at 10:00 a.m., with proposals publicly opened and read aloud on the same date and time via Microsoft Teams. A non-mandatory site visit is scheduled for May 1, 2026 at 10:00 a.m. at three designated locations, and the question submission deadline is May 4, 2026 at 3:00 p.m. The initial contract term is three years, with the City reserving the right to renew for two additional one-year periods contingent upon budget approval. Evaluation criteria include relevant project experience, licensing and certifications, price, and references, with the highest-ranked proposers potentially invited to make presentations to the Evaluation Committee. Pricing will be structured as cost-plus-markup for materials and parts (markups not to exceed 15 percent) and labor rates provided in the cost proposal form, with estimated hourly rates for labor and quarterly per-camera maintenance rates required.
Proposers must be Florida-based businesses or maintain permanent physical presence in Florida and must demonstrate authorization or certification as resellers, certified installers, or integration partners for manufacturers including Motorola Solutions/Avigilon Alta, Digital Watchdog, and Axis Communications. Contractors must provide at least five professional references for enterprise, municipal, educational, or healthcare CCTV deployments completed within the past five years and comply with extensive insurance requirements including Commercial General Liability ($1,000,000 per occurrence/$2,000,000 aggregate), Business Automobile Liability ($1,000,000 combined single limit), Workers' Compensation (statutory Florida limits), and Contractor's Pollution Liability ($1,000,000 per occurrence/$2,000,000 aggregate). The City of Dania Beach encourages participation from small businesses, minority/women-owned businesses, and disadvantaged business enterprises. The incumbent contractor, AMC Surveillance Cameras & Electronics, has provided services to the City since 2013 and currently maintains the surveillance camera system under an annual contract valued at $33,660 (comprised of $14,160 for preventative maintenance and $19,500 for contingency service calls). The procurement requires integration with the existing Motorola Solutions Avigilon Alta Video Management System currently deployed across City facilities, and all materials supplied must be new and hold manufacturer warranty. The City reserves the right to reject any and all proposals, waive informalities, or re-advertise, and award will be made at a subsequent City Commission meeting based on best value determination.
