About this opportunity
The City of St. Petersburg, Florida, through its Police Department, is seeking a sole source procurement for comprehensive annual support and maintenance of complex audio-visual technology infrastructure. The solicitation (REQ-24-184) covers technical support for extensive audio-visual equipment across multiple locations, including 10 conference rooms with Crestron systems, over 100 IP/TV locations utilizing UCrypt technology, 20 digital signage locations, and 7 video walls using Hiperwall software. Required vendor services include technical phone support Monday through Friday from 7 am to 4 PM EST, with a mandatory four-hour response time for initial contact and on-site service within 48 hours. The vendor must provide replacement parts, warranty support, escalation assistance with external vendors, and conduct an annual review and preventative maintenance of all equipment. The Request for Proposal was released on May 17, 2024, with responses due by May 24, 2024, at 3:00 PM, to be submitted electronically through the city's procurement portal.
The solicitation appears to be structured as a sole source notice with APG Electric currently identified as the existing service provider and original system installer. While no specific set-aside designations for disadvantaged enterprises are mentioned, the procurement allows a seven-business-day window for alternative vendors to demonstrate equivalent capabilities and potentially challenge the sole source designation. The total annual cost for similar support services has been previously documented at $47,924.00, discounted from an MSRP of $59,905.00, and is associated with TIPS Contract #230105 for Technology Solutions Products and Services. The agreement is expected to include annual perpetual renewals and covers equipment located at 1301 1st Avenue N. in St. Petersburg, FL 33705. Payment terms are structured as 100% Net 30 upon receipt of signed proposal or purchase order, with options for multi-year contracts that can be invoiced annually or monthly with an additional 10% of the contract total.
