About this opportunity

George Mason University's Purchasing Department is requesting proposals for air compressor maintenance and repair services to support the Facilities Department, with proposals due July 21, 2026 at 2:00 PM ET through the Bonfire portal. A Virginia Small Business and Supplier Diversity (SWaM) certification preference worth 10 of 100 evaluation points applies; SWaM-certified vendors must maintain certification throughout the contract term and submit renewal documentation at least 60 days before expiration.

The scope covers quarterly inspections, emergency response, and repairs for 121 compressors and 76 dryers distributed across the Fairfax, Arlington, Science and Technology Park, and off-campus facilities. Equipment inventories include HVAC, medical air, instrument air, and fire suppression systems from manufacturers including Quincy, Gardner Denver, Atlas Copco, ELGI, Curtis, Champion, Powerex, Hankison, Keltec, SPX Flow, and Zeks. Service-level requirements mandate two-hour emergency response time and 24-hour standard repair completion with a minimum 95% compliance rate. Pricing must cover hourly rates for on-site and in-shop labor during regular business hours (Monday–Friday, 7:30 AM–5:00 PM), parts percentage mark-up, and percentage discounts for compressor purchases from specified original equipment manufacturers including Atlas Copco, Ingersoll Rand, Sullair, Gardner Denver, Kaeser, Fusheng, Doosan, BOGE, CompAir, and Quincy. On-site travel within 50 miles of the Fairfax campus must be included in hourly rates; travel beyond that radius may be reimbursed per GSA per diem rates.

The contract term is one year with four successive one-year renewal options. Evaluation allocates 25 points for quality, 20 points for qualifications and experience, 25 points for methodology, 20 points for price, and 10 points for SWaM certification. Contractor questions are due July 2, 2026 at 4:00 PM ET, with university responses by July 9. Oral presentations are scheduled the week of August 3, 2026, finalist negotiations August 3–7, and notice of award August 10. All vendors must register with eVA and complete a Small Business Subcontracting Plan. No subcontracting is permitted without prior written consent. Payment options include Net 10 with 2% discount, Net 20 via Virtual Payables, or Net 30 through Paymode-X.
