About this opportunity

The Auraria Higher Education Center (AHEC) in Colorado is soliciting quotes for an online ticketing and tour booking system for the Golda Meir House Museum, with quotes due July 20, 2026 at 2:00 PM Mountain Time. An optional pre-bid conference is scheduled for June 24, 2026 at 1:00 PM Mountain Time via Zoom; questions are due July 7, 2026.

The scope covers a web-based platform enabling customers to browse, reserve, and purchase tickets and tours with real-time availability scheduling, secure payment processing, mobile-friendly design, automated confirmations and reminders, and reporting analytics dashboards. The vendor must provide all labor, materials, equipment, software, and services necessary for full implementation, training, and one year of software licensing. The contract term includes implementation and one year of support with pricing firm for the first 12 months.

Vendors must submit a completed cost sheet with one-time implementation costs (software subscription, configuration, customization, data migration, testing, training, and project management) and recurring annual costs (subscription renewal, maintenance and support, hosting, payment gateway fees, and notification services). All pricing must be in U.S. dollars with quotes remaining firm for 90 days from the due date. Payment terms are Net 45 from invoice receipt.

Required submittals include a cover sheet with signature, cost sheet, technical literature, W-9 form, Vendor Mailing Address Form, current PCI DSS Attestation of Compliance, current VPAT demonstrating WCAG 2.1 AA accessibility compliance, and a sample certificate of insurance. Insurance requirements include workers' compensation, general liability at $1,000,000 per occurrence, automobile liability at $1,000,000 combined single limit, and cyber/network security and privacy liability at $1,000,000 to $5,000,000 depending on records held. The State of Colorado and AHEC must be named as additional insureds on general liability policies.

Evaluation criteria include cost and overall value, platform functionality and visitor experience, ease of administration and reporting, implementation plan and ongoing support, security/accessibility/compliance, and vendor qualifications. Vendors must provide at least three client references from the last two years with similar platform implementations. AHEC intends to award to a single vendor but reserves the right to award to other responsive vendors if the primary awardee is inadequate or to reject all quotes and re-solicit.
