About this opportunity

Fermi National Accelerator Laboratory, operating through Fermi Forward Discovery Group, LLC, is seeking to procure two electromagnetic undulator magnets for the Amplified Optical Stochastic Cooling (AOSC) Experiment. The undulators must meet precise technical specifications outlined in the requirements document, including specific geometric parameters (950.0 mm maximum length with 80.0 mm periods), magnetic performance requirements (2188 nm fundamental wavelength, K-parameter of 1.494, and 2.00 kG nominal on-axis field), and critical tolerances between the two units for wavelength, period, and field consistency. Award will be made using best value source selection to the lowest-priced technically acceptable offeror deemed responsible by Fermi Forward Discovery Group, with the intention to award without discussions. The evaluation will be conducted on a firm-fixed price basis with Net 30 payment terms and F.O.B. Fermilab delivery. Proposals are due by 5:00 PM Central Time on April 23, 2026, with all proposal submissions requiring completion of the RFP response page, SARC Form (Subcontractor Annual Reps & Certs, Rev. 6), and PUR-466 Form (Proposal Certifications, Rev. 5). Proposals exceeding $10,000 USD must include both the SARC and PUR-466 documents, with tiered certification requirements based on proposal value.

This solicitation carries no set-aside designation and no incumbent contractor is identified. The contract value threshold for federal reporting purposes is established at $10,000, with additional certification requirements at $150,000 and $550,000 depending on the final bid amount. Two identical units will be procured and delivered to Fermilab Receiving Warehouse 2 at Kirk Road & Wilson Street in Batavia, Illinois 60510, with delivery scheduled to support completion by Q4 2026 for installation in the IOTA storage ring. All freight charges must be included in the quotation, and the resulting subcontract will be governed by Fermi Forward Discovery Group's General Terms and Conditions for Commercial Products and Commercial Services (08.2025). Technical inquiries and questions regarding the RFP should be directed to Spencer Keske, Procurement Specialist III, at skeske@fnal.gov or 630-840-3323.
