About this opportunity
The Department of Veterans Affairs, Veterans Integrated Service Network 17, is seeking qualified vendors to conduct a comprehensive wall-to-wall physical inventory of medical and Information Technology equipment at the VA North Texas Health Care System Dallas VA Medical Center. The primary objective is to perform a complete room-by-room scan of an estimated 50,000 to 60,000 fixed assets within a 60-calendar-day timeframe, with a maximum completion period of 90 calendar days from Notice to Proceed. Key requirements include utilizing trained inventory specialists equipped with portable laptops, barcode/RFID scanners, and label printers to record minimum data elements for each asset and reconcile results against the VA's AEMS/MERS equipment record system. Acceptance criteria specify 95% coverage of in-scope areas within 15 business days of fieldwork completion, with duplicates limited to 0.5%, unmatched records limited to 2%, and no blank critical fields. Responses to this Sources Sought Notice must be submitted by 3:00 PM Central Time on Thursday, February 19, 2026, to Contract Specialist Lesley Kitchen at lesley.kitchen@va.gov.
This procurement includes no set-asides, and no current contractor information has been identified. The Sources Sought Notice is being issued for market research purposes to determine vendor availability and fair and reasonable pricing, particularly among small business contractors, which will inform whether a future formal solicitation will be set-aside or remain unrestricted. Interested vendors should submit detailed company information, estimated pricing, SAM UID numbers, NAICS and business size designations, and any relevant GSA or VA Federal Supply Schedule contract details. The project is located at 4500 South Lancaster Road, Dallas, Texas 75216, and all contractor labor, materials, equipment, supervision, and travel expenses must be provided by the selected vendor. Final deliverables must be submitted within 5 business days of fieldwork completion and include a validated asset dataset spreadsheet, variance and reconciliation report, exception logs, and annotated floor layouts. Payment will be invoiced upon Government acceptance of all deliverables and satisfaction of all acceptance criteria.
