The procurement is classified under NAICS code 811210 for Electronic and Precision Equipment Repair and Maintenance. The proposed contract will specifically cover an epMotion Service Agreement with a performance period from February 1, 2025, to January 31, 2026. This special notice is being issued under the authority of FAR 13.106-1(b), which allows solicitation from a single source. The notice emphasizes that it is not a formal request for quotation but an opportunity for interested parties to demonstrate their capabilities.

The primary objective of this Special Notice is to establish a service agreement for medical equipment maintenance with strict requirements for original equipment manufacturers (OEM). Contractors interested in participating must be an OEM, authorized dealer, authorized distributor, or authorized reseller, verified through an authorization letter from the original equipment manufacturer. The notice explicitly prohibits gray market or remanufactured items, with the VA reserving the right to terminate the contract or require no-cost replacement if such items are delivered. Potential contractors must submit their capabilities to Serina Black at serina.black1@va.gov by January 24, 2025, at 16:00 PM EST, with the understanding that the information will be used solely to determine whether to proceed with a competitive procurement. The VA maintains full discretion in deciding whether to complete the proposed contract based on the responses received. All information must be provided at no cost or obligation to the government, and telephone inquiries will not be accepted.
