The contractor must provide a conference venue in Columbus, Ohio with theater-style seating for 900 personnel, comprehensive audio-visual equipment including digital mixers, wireless microphones, projection screens, and HD video projectors, as well as catering services, Wi-Fi connectivity, and on-site technical support staffed by audio and video engineers and A/V technicians. Key contract requirements include providing complimentary parking passes for keynote speakers and DoD personnel, a green room for VIPs, event materials and mobile app setup two months prior to the event, bi-weekly status updates, a pre-event walkthrough, and a post-conference report within 30 days after the event. All services must comply with DoD Conference Guidance dated April 12, 2017, which governs conference planning, approval, cost calculation, and reporting requirements. Responses to this Request for Information (RFI) must be submitted by December 1, 2025 at 3:00 PM EST to ivan.badillo@dla.mil; this RFI is non-binding and the government reserves the right to not issue a formal solicitation.
This procurement carries no set-aside designation, and no incumbent contractor or current vendor information is identified in the pre-solicitation notice. The specific award value or budget range is not disclosed in this RFI phase, though the comprehensive nature of the requirements—including venue management for 900 attendees, professional audio-visual production with multiple technical staff, catering coordination, and mobile application development—suggests a substantial contract value. The event will take place August 11-13, 2026, with the contract becoming effective upon the date of the last required signature and subject to termination by either party with 30 days written notice. The requirement encompasses three main conference areas consisting of one main conference room accommodating 900 personnel and two breakout rooms accommodating 100 personnel each, along with technical support teams providing 8-hour shifts throughout the three-day event period.
