About this opportunity
The United States Department of Agriculture Forest Service Region 3-Southwestern Region is soliciting quotations for bi-annual inspection and servicing of copy machines at multiple Carson National Forest locations in Northern New Mexico under Solicitation Number 127EAV26Q0032. The procurement covers deep cleaning, component inspection, calibration and alignment, firmware updates, diagnostics, testing, and parts replacement for eight copy machines—seven HP Color LaserJet Flow MFP M880 models and one Konica Minolta C364E unit. This is a Request for Quotation (RFQ) for commercial items and services prepared under FAR Part 12, with quotations due by May 5, 2026, at 1700 MT, and pre-award questions due by April 22, 2026, at 1200 MT. Award will be made on a firm fixed-price basis to the lowest price technically acceptable offeror, with technical acceptability determined by the contractor's demonstrated understanding of the Performance Work Statement requirements and ability to provide the described services. All quotations must be submitted via email to Contracting Officer Ellena Silva at ellena.silva@usda.gov and must include all applicable taxes, with offerors required to hold prices firm for 90 calendar days from the receipt of offers date.
This acquisition is designated as a Total Small Business Set-Aside under FAR 52.219-6, with the small business size standard established at $34 million for NAICS Code 811210. The contract consists of a one-year base period (May 18, 2026 through May 17, 2027) plus two optional one-year periods, for a maximum three-year duration, with the government reserving the right not to exercise option years. Services are required at seven locations across Northern New Mexico: Taos Supervisor's Office, Tres Piedras, El Rito, Questa, Canjilon, Penasco, and Jicarilla Ranger Districts. All offerors must be registered in SAM.gov and must submit pricing for the base period and both option periods; failure to provide complete pricing will result in exclusion from consideration. Contractors must comply with Service Contract Labor Standards, including applicable wage determinations for New Mexico counties, and invoices must be submitted through the Department of Treasury's Invoice Processing Platform.
