About this opportunity

The Utah Army National Guard is soliciting conference venue and audio-visual services for the 300th Military Intelligence Brigade's Language Conference scheduled for February 5-6, 2026, under Solicitation W911YP26RA002. The contractor must provide a climate-controlled, ADA-compliant indoor facility within walking distance of public transportation in the Salt Lake Valley that can accommodate approximately 250 attendees with general session space, multiple breakout rooms, registration and exhibitor areas, and comprehensive audio-visual support including live web streaming capabilities. Vendors must be registered in SAM.gov under NAICS code 561920 (Convention and Trade Show Organizers) or a similar code, demonstrate a minimum of 10 years of professional conference hosting experience, and provide evidence of prior success with similar-sized events. The solicitation is being conducted as a full and open competition using a Request for Proposals (RFP) format with firm fixed-price awards prioritized first to small business concerns in accordance with FAR 19.502-2, though the evaluation criteria specific to proposal scoring are referenced in the Statement of Work. Proposals are due by 0700 AM MST on January 26, 2026, with questions and answers having been issued as recently as January 8, 2026.

This procurement is subject to a Women-Owned Small Business (WOSB) set-aside designation, prioritizing awards to qualifying small businesses with a size standard of $20 million in the convention and trade show organizers category. No incumbent contractor information or specific budget range is disclosed in the solicitation documents. The conference will operate over two days with event requirements including theater-style seating for the general session accommodating up to 600 participants for a Brigade town hall, multiple breakout spaces, exhibitor booth areas with six-foot tables, and staging for a six-person VIP panel with full lighting and audio support. The venue must accommodate attendee lodging for room nights on February 4-5, 2026, though individual hotel rooms will be paid directly by attendees through the Defense Travel System rather than included in the contract scope. The place of performance is within the Salt Lake Valley, Utah, specifically requiring facilities accessible by public transportation.
