About this file

This document is a Questions and Answers (Q&A) file for an event planning requirement, detailing specific logistical needs for a conference. The event requires a venue accommodating 250 attendees, with two to three room nights needed (5-6 February), theater-style seating in the general session space, and breakout spaces capable of seating 250 people each. Specific A/V requirements include a stage, panel seating for 6 VIPs, lighting, microphones, projectors/screens, and web live streaming for select time periods. Registration will occur in two stages - initial online registration and on-site check-in with lanyards distributed during a no-host social event. The venue will also need to provide exhibitor spaces with 6' tables and adequate conversation spacing, with no pipe and drape requirements.

Additional event details include a Brigade town hall requiring main session space access from 1600-1700 for approximately 600 participants, and a rehearsal period from 1700-1720 prior to a final/awards ceremony. Room accommodations for teams traveling on 4 February will be individually paid through DTS (Defense Travel System), and this specific lodging requirement will not be included in the contract. No signage or name tags are required, and the organization will provide its own A/V equipment for breakout sessions.

Questions:

1. Clarify the number of rooms nights needed for the 250 room count. Would it be for one night or two?

2. What is the layout of the seating in the General Session space? for example, it is theater style with no tables or classroom with tables and 2 people at each table?

3. Do the breakout spaces need to fit 250 people each?

4. Do you require onsite meeting planning?

5. is there a need for signage or name tags?

6. What is the method of registration?

7. what are the size of exhibitor booths and do they need pipe and drape?

Answers:

1. Two nights minimum (5-6 Feb), but 3 nights preferred. Teams will be traveling on the 4th and will be needing lodging that night so they can compete on the morning of the 5th. This requirement will not be in the contract. Rooms will be paid on individual

DTS.

2. It must be theater seating, with a stage and table/chairs/microphones adequate to handle a panel of 6 VIPs. We will require A/V adequate to reach the entire audience as well, including lighting, microphones, projector/screens, and live stream to the web for 0800-0920 and 1730-1830 on the 6th.

3. 250 each is what we put in the requirement, with theater seating and a lectern. We will supply our own A/V for the breakouts.

4. The only “onsite meeting” space we will require is full access to the main general session space 1600-1700 for the Brigade town hall (approx. 600 pax), and the ability to conduct rehearsal in that same space 1700-1720 prior to the final/awards ceremony.

5. No requirement.

6. Registration will be in two stages. Attendees register via our website. This is how we build our roster of attendees. Then we will set up tables and computers to check in those registered guests and distribute lanyards at the no-host social 1800-2000 5 Feb and again 0600-0700 on Feb 6 at the check-in tables outside the main conference hall. We envision this in a common hallway or reception foyer area leading to the main session space.

7. 1- 6’ table per exhibitor booth, with adequate spacing for conversation, no pipe and drapes required.
