Title: YRRP Conference space, Catering & Lodging

Solicitation# W91364-25-Q-0001

Q/A:

Question 1: Third-Party Bidders: Are third-party or subcontractors allowed to bid on this solicitation, or must all services be directly provided by the primary contractor?

Answer 1: * Don’t believe we can limit “third-party” subcontractors Question 2: Fee Structure: How would the government prefer our fee to be integrated into the proposal? Should it be detailed separately on the Technical Acceptability Worksheet, or can it be bundled with specific service line items (e.g., lodging, catering)?

Answer 2: We would like everything factored together. Include the fee with your total price.

Question 3: Cancellation Policy: Is the 20% cancellation window for lodging rooms a strict requirement, or is there flexibility for negotiation with the venue?

Answer 3: This is not for negotiation; the hotels allow for changes and do not charge for rooms we did not use.

Question 4: Budget: Is the government working within a specific budgetary ceiling for this event, or is there flexibility in pricing for proposals offering enhanced services or logistical advantages?

Answer 4: We cannot give you a dollar amount.

Question 5: Our Ballroom will work great for 350 guests at banquet rounds of 10, however the 2 next largest meeting rooms we have will only accommodate up to 60 at rounds of 10. For the 2 additional breakout rooms, is theater style seating for 75 an option? Or, can we re-purpose the General Session room by pulling the airwalls to divide into separate spaces?

Answer 5: Theater style seating should be identified in the proposal.

Question 6: Who’s the incumbent?

Answer 6: This is a new requirement.

Question 7: What’s the contract number?

Answer 7: There is not a contract number this is a new requirement.

Question 8: What’s the contract value?

Answer 8: We cannot give you a value/dollar amount.

Question 9: Round Table Setup: Would it be possible to utilize round tables for this event?

Answer 9: Round style tables should be identified in the proposal Question 10: Event End Time: Could the event conclude at 17:00 instead of the originally scheduled 18:00?

Answer 10: I cannot guarantee to be complete at 1700. Typically, events have concluded early. This should be identified in the proposal.

Question 11: Breakout Room Setup:

0. Could airwalls be installed in the ballroom for breakout rooms, or could alternative meeting rooms be used?

0. If alternative meeting rooms are acceptable, would seating for 75 in a theater-style arrangement be permissible?

Answer 11:

· Our team would need to know how much time would be required to set-up and tear down the airwalls. This would need to be identified in the proposal. Additionally, the general session is with everyone together, breakouts in the afternoon after lunch, and everyone back together for the final session(s). Not sure what is meant by alternative meeting rooms. Wouldn’t that be a breakout room?

· Theater style seating should be identified in the proposal.

Question 12: I wanted to inquire if there is any flexibility with the event dates?

Answer 12: No, dates are not flexible.

Question 13: Are there alternative dates we could consider?

Answer 13: No, dates are not flexible.

Question 14: Would it be possible to look into venue options in the Cincinnati area?

Answer 14: No, it has to stay within the 75-mile radius of Columbus.
