VAARNG Furniture Final Q&A
RFQ W912LQ-24-Q-A004
Q1. Are there any files for the floor layout? Hand drawing with measurements would work.
A1. The solicitation on SAM.gov contains a pdf attachment with an overview of the building and each room with approximate room dimensions. An updated attachment, Bldg 142 Overview, Revision 2 is included in Amendment 0001.
Q2. Does the building have a loading dock? If no loading dock, where will we offload the truck?
Approximately how far is it from the truck offload site to the install location?
A2. There is no loading dock. Parking is available in front, to the side, and rear of building.
Offloading will likely be best by parking in front of the building (can pull within 10 feet of front door).
Q3. Is this on the ground floor? If not, is there a service elevator to help carry parts of the furniture? Are there any stairs that the product will need to go up or down to reach the install location? If so how many?
A3. Bldg. 142 is a ground floor only building. There is a only a small rise from ground level to floor level.
Q4. Is there a storage/staging area/room prior to installation of the furniture?
A4. Rooms 114 and 116B are large rooms and could be used as a staging area to offload furniture while the other rooms are being set up first.
Q5. Are there any specific description of the furniture, like its dimensions? This way we can have a basis of the design if a CAD file is needed.
A5. The pre-solicitation and solicitation contain a general description of the types of furniture being requested. We are not specifying a brand, make, or model and therefore cannot specify an exact dimension for the furniture. The requirement is the furniture proposed in the quote will meet the requirements and adequately fit in the space of each room.
Q6. Would it be possible for me to be provided with the building plan either in CAD or PDF form (as seen below) without the blue box ID’s so I can see the architectural dimensions underneath.
A6. This is the only copy of the building plan we could get from facilities. The attachment titled, “Bldg 142, Overview, Revision 2 is included in Amendment 0001. However, rooms 116A and 116B do not show the actual floor plan after a new wall was added. Rooms 128A, 128B, and 128C do not have the “drop in partitions” as indicated and the rooms are approximately 9’x9’.
Q7. Will the customer want chairs for the small meeting table and the conference room table? If so, How many?
A7. The chairs for the small meeting table and conference table are all accounted for in the total number of guest chairs. 17 total guest chairs.
Q8. Can the customer provide how many L shaped desks will be LEFT and RIGHT?
A8. The solicitation puts the responsibility on the contractor to determine the configuration of the furniture to fit the room. The Bldg. 142 Overview Version 2 has been updated to show the approximate door locations for each room.
Q9. Dimensions, are we going to be the one suggesting the dimensions of the desk in reference to room's dimensions or do you have any preferred dimensions?
A9. The contractor’s offer should provide the dimensions of the furniture they are quoting to fulfill the requirement. Some type of overlay is required as part of the submission that demonstrates how the furniture will be arranged and fit in each room.
Q10. What is the preferred upholstery color for the guest chairs.
A10. The guest chair upholstery may range from black to dark grey in color.
Q11. The L-desks state overhead storage. Is this wall-mounted or desk-mounted?
A11. Desk mounted overhead storage required, as many of the walls within new or remodeled facilities are steel framed and may not sufficiently support lateral load bearing.
Q12. Are metal-leg desks acceptable or is this supposed to be all laminate?
A12. Laminate bottom legs or base are the preferred option as they match closely to furniture currently procured at new facilities.
Q13. Are you able to waive the manufacturing company from being a small business? Our team is a small business; however, the solicitation reads like the manufacturing company needs to be as well. Any clarity on this is appreciated.
A13. Federal Acquisition Regulation (FAR) 19.505, Limitations on subcontracting and nonmanufacturer rule, does not apply to this procurement action. As such, the supplier awarded a contract as a result of this solicitation, furnishing end items it did not manufacture, is not required to provide an end item manufactured by a small business.
Q14. Can you confirm the preferred finish for the desking?
A14. Light in color such as maple. The requirement does not define a finish texture such as gloss or satin.
Q15. Regarding the ‘L-shaped desk’ compliment of furniture items, please clarify that the desks called for in areas 128A-C should include all items as are included in the offices and that they should be surrounded by cubicle panels. And if so, should I assume that there should be panels with power to support the desks. OR, Are these offices with walls and a door. If with a door is it on the left or right as entering each office.
A15. All L-shaped desks should be the same and come with the same compliment of items as defined in the solicitation’s general description of items. The only variation should be a left or right configuration. The areas 128A-C are walled areas with a door and will be empty rooms not cubicle spaces. The drawings provided by the customer do show some “drop-in stations” however these will be empty rooms. Version 2 of the Bldg. 142 Overview pdf, included in Amendment 0001 shows the relative door positions for all rooms. Consideration for power supply locations are not within the scope of this solicitation.
Q16. Does the L-shaped desk needs overhead-storage/hutch, pedestals, Height adjustable desk, monitor arms, keyboard/pencil drawer, tackboard, etc? Or is this just plain L-shaped desk?
A16. The L-shape desk require a desk-mounted overhead storage compartment. The desk is not required to be height adjustable. Monitor arms are not required by the solicitation however the keyboard mount is listed as a requirement. A tack board is not a required item.
Q17. Is the breakroom counter and refrigerator remaining in office 116A?
A17. 116A will be empty. This is a small room and the divided section shown on the drawings is a closet. The actual dimensions of this room are 9’6” x 9’3”.
Q18. Should a light and tackboard be included in all hutches?
A18. A light and tackboard are not requirements that were identified in the solicitation.
Q19. Please confirm if there is any furniture to remove/dispose of?
A19. There are a few items of old furniture left in some of the rooms however it will be removed by VAARNG Facilities personnel prior to delivery of the new furniture.
Q20. Are you able to offer an extension on the deadline of this project?
A20. Per Amendment 0001, the date for receipt of quotes has been extended to 16 August 2024.
