About this file
This is a Questions and Answers document clarifying requirements for RFQ W912J2-27-Q-042147, a Post-Demobilization Yellow Ribbon Reintegration Event in Wisconsin Dells scheduled for January 8-10, 2027. The event supports the 121st Field Artillery Regiment and 108th Forward Support Company with approximately 500 attendees. Key clarifications address venue requirements, pricing submission, and contract performance: the Infant/Nanny Room must be 1,500 square feet per the Statement of Work; the revised bid sheet (PH1_V2) supersedes all previous versions and contains corrected formulas; quotations must include all costs from the SOW including setup access beginning no later than 1600 on January 8, A/V dry runs, WiFi, on-site event coordination, and refreshments for all 500 attendees daily; lodging is required only for the night of January 9 (205 double-occupancy rooms with two beds each, potentially at properties within 2 miles of the conference center); and all mandatory service charges, resort fees, and taxes must be identified and included in pricing. The prime contractor remains fully responsible for all contract performance and need not own or operate the hotel facility.
The document confirms that the vendor is not responsible for providing childcare services; movable airwalls are acceptable for Day 2 breakout rooms if they independently meet all SOW requirements; meals are not required, only snacks and beverages per SOW section 5.1; the event is not subject to attrition requirements as a firm fixed-price award; the geographic area is limited to 10 miles from Wisconsin Dells; quotations must remain valid 30 days past solicitation closing; the anticipated award date is December 1, 2026; invoices will be submitted and paid through WAWF; and evaluation is based solely on lowest price meeting or exceeding SOW requirements. Offerors must submit both a narrative demonstrating SOW conformance and a completed bid sheet detailing all costs, with no required narrative format or page limit specified.
