About this file
This is a Questions and Answers document for a Wisconsin Army National Guard hotel and conference space rental solicitation. The document clarifies that projector, connections, and microphones need to be provided by the hotel, though the agency has backup equipment available. It specifies attendance numbers of 700 people for the first two days and 650 for the third day.
The Q&A addresses discrepancies between the Statement of Work and pricing sheet, confirming that 250 lodging rooms per night are needed (not 200 as listed on the pricing sheet). It also clarifies requirements for nanny and youth rooms, specifying that the nanny room needs space for pack-n-plays and a mini fridge, while the youth room (for children 6 and older) requires space for arts/crafts, lunch, and games. The document estimates approximately 20 children per day in each room, though current registrations show varying numbers: 1 child on January 31st, 0 on February 1st, and 5 on February 2nd.

Questions and Answers
Q1. For the general session room - you only have 3 screens listed for AV. Will you be bringing in your own projectors, connections and microphones or do you need the hotel to provide those?
A1. We will need to have projector, connections and microphones provided. We have them and bring them in case there is an issue with the hotels as a backup.
Q2. Are you expecting 700 people a day all 3 days?
A2. The first two days will have 700 people each day, the 3rd day would be less at about 650.
Q3. Do you have a bid sheet with a breakdown of line items?
A3. See attachments posted as of 12/18/2024 Q4.
Just a couple questions on the above noted solicitation:
How many nanny and youth rooms do you need and how many children are expected each day? You have 2 of each listed on the SOW but only one of each listed on the price sheet How many lodging rooms do you need each night? There are 250 per night listed on the SOW but only 200 each night on the pricing sheet A 4. For the rooms, go for the 250 per night. For the Nanny room, we will need a space that can have an area for pack n plays and a mini fridge if needed. For the child and Youth room, an area to do arts and crafts/eat lunch; play games; etc. This room is for kids 6 and older.
Unfortunately, we do not know how many will be present for each day. We are guessing that there will be at least 20. We do not know the age breakdown yet either, the past couple ones there has been no children that meet the 6 and older range or at least only a couple and they just went into the nanny room. Currently there is 1 for the 31st, 0 for the 1st and 5 for the 2nd. The unit is supposed to have all members registered by the 31st of the year per their BN OPORD.For planning, I would say 20 in the Nanny room per day and 20 in the Child and Youth room.
