About this file
This is a Questions and Answers amendment to a federal solicitation for event planning and management services.
Amendment 01 to solicitation W912HQ26QA004 addresses vendor inquiries regarding the USACE Senior Leader Forum scheduled for the third quarter of Fiscal Year 2026. The Government has established a firm, locked schedule for a multi-day event spanning May 26-29, with setup on May 26, the main event on May 27-28, and teardown on May 29. Operations will run from 7:30 AM to 5:30 PM on May 26-28 and 7:30 AM to 1:00 PM on May 29. The event will accommodate 180 to 200 guests and requires food and beverage services including lunch and light snacks, though specific food types were not specified by the Government. This is a new requirement with no incumbent contractor or historical precedent, meaning all vendors are competing on equal footing. Vendors must adhere strictly to these baseline logistical parameters for accurate proposal development and cost estimation. All other terms and conditions of the original solicitation remain unchanged.

Solicitation Number: W912HQ26QA004
Solicitation Name: USACE Senior Leader Forum 3rd Quarter FY26
Amendment 01
The purpose of Amendment 01 to solicitation W912HQ26QA004 is to provide answers to the questions received. All other terms and conditions of the solicitation stay the same.
Question: We currently have May 22 available. Could you please clarify the details for this event for me to send a proposal?
Answer: The proposed date of May 22 is unacceptable, as it does not meet the Government's operational requirements. The Period of Performance is firmly established as a multi-day event spanning May 26 through May 29, and the schedule is locked at this stage of the acquisition. To facilitate precise proposal development and accurate cost estimation, vendors must adhere to the following baseline logistical parameters derived from the Performance Work Statement:
• Date: May 26-29; Setup May 26, event May 27-28, teardown May 29
• Guest number: 180 to 200
• Time periods: 7:30 AM-5:30 PM May 26-28, 7:30 AM-1:00 PM May 29
• Food and beverage: Lunch and light snacks needed; specific types of food were not requested
Question: Is there an incumbent contractor?
Answer: No, this is a new requirement. Therefore, there is no historical precedent or incumbent contractor performing these specific services.
