QUESTIONS AND ANSWERS TO SOLICITATION
CURRENT AS OF 18 OCTOBER 2023
Queson 1: Does the level of service required include a third-party booking hotels and inpung reservaons into either ALRS or Lodging Force once the call order is issued/funded?
Response 1: This requirement does not include the use of third-party booking or any administrave acons ulizing ALRS or Lodging Force. The military lodging manager or designated representave provides finalized rosters directly to the hotel and all communicaon, to include but not limited to reservaons, cancelaons, billing, payment, quality assurance and guest sasfacon is communicated through the military lodging manager or designated representave directly to the hotel. This requirement is to provide rooms not administrave support to the government.
Queson 2: Do you have the average breakdown of singles vs. double hotel rooms for the unit?
Response 2: The requirement as stated in the PWS is to guarantee 30 rooms per night for the primary weekend and 10 rooms per night for the alternate weekend. This will be a mix of single and double occupancy rooms and will fluctuate at the request of the government. On average 25-30% of rooms may be requested as double queens. This is always subject to change and may surge to 75-80% of rooms being requested as double queen.
Queson 3: What is the Number of Minimum Room Guarantees for the work week?
Response 3: There is no minimum guarantee requested for the work week, rather as stated in the PWS the requirement is to provide rooms during the week, if and when called for by the lodging manager or designated representave. The heaviest demand for rooms during the week will be leading into the week of the primary weekend and historically has been 3-5 rooms each day. Addional weekday room requests are sporadic and historically have been 1- 3 reservaons per month that are 2-5 days in length.
Queson 4: On the schedule reservaon form the dates that say no- requirements does that mean that there are no alternave dates during those certain months so only provide quotes for the start and end dates only?
Response 4: When “No requirement” is listed this indicates that there is not a requirement for that category during the month listed. If there is a date listed under either Primary or Alternate, both of those dates are required for lodging and rooms will be needed for those dates.
Queson 5: - Am I reading this correctly – awarded hotels must hold 30 rooms for 2 weekends/month throughout the terms of the contract (4 years) unl the Wednesday of that week. We do see the 2024 reservaon weekends document as a guide. On the Wednesday, the hotel will be nofied if you need all 30 or a lesser number of rooms (or even none of the rooms) for the weekend. The hotel can release any unused rooms and resell what they can in the 2 days before your arrival?
