About this file

This document is a Questions and Answers attachment related to a federal contract opportunity for Office Furniture. The key details are:

The procurement is a total small business set-aside for office furniture for various buildings and rooms, with 34 distinct CLINs. The government intends to issue a minimum of 1 but no more than 3 Blanket Purchase Agreements or Purchase Orders. Quotations are due by 4:00 PM CST on July 3, 2024. The government will evaluate technical performance, pricing, and past performance, with technical and past performance being equally important compared to price. The contractor must provide 3D renderings and meet the 180-day delivery timeline. The government will provide additional details including AutoCAD drawings prior to the due date. Chairs are included for situational awareness but do not require quotations.

Questions and Answers

1. With the site walk being tomorrow, I assume this is non-mandatory?

Answer: You are correct. No solicitation site visit is mandatory. However, if the Government is considering a proposal from a company, then it must determine whether the proposal is reasonable. I would have concerns that a proposal from a company that did not come to physically look at an office space truly understood the requirements of each of the spaces.

1. Although the question was not asked, the Government will provide this question that will eventually be posted within the solicitation via amendment. Will the Government consider alternate site visit dates?

Answer: Yes. Due to the late posting of the solicitation in conjunction with the site visits, the Government will consider a site visit the week of June 17-18 or June 20-21. However, there will not be any extension of the proposal due dates and this additional site visit must be requested. Only one of those two dates will be scheduled based on contractor response no later than close of business 6 June 2024.

To further clarify, the Government will provide one additional site visit 17-18 June from 0800-1500 CST each day. If participating, please provide all members attending site visit, as well as vehicle information no later than 1200 CST on 14 June 2024.

1. Specifically, I have a question regarding the CLIN description. Could you clarify what the designation refers to in this context? For example, in CLIN0001 - Office Furniture, B730 MXG, RM Mezzanine, I am uncertain if "B730 MXG" is a model number, a brand name, or something else.

Answer: “B730 MXG” refers to building 730 Maintenance Group. To further clarify, all CLINs (1-34) are named to denote particular buildings, units, and room number(s)/area. For your reference, additional details are provided in the attachment labeled: “Attachment 1 Office Furniture_2024 Site Visit PPT.”

MDG = Medical Group MDG/Det 1 = Medical Group / Detachment 1 MSG = Mission Support Group CES = Civil Engineering Squadron CBCS = Combat Communications Squadron MXG = Maintenance Group LRS = Logistics Readiness Squadron FM = Financial Management

1. Will we be providing quotations for chairs?

Answer: Please refer to “Attachment 1_Office Furniture_2024 Site Visit PPT.” Chairs are included for situation awareness; however, quotations will not be provided with quantities listed as “x” in far-right column within each CLIN.

1. Will future office furniture requirements be needed in later years?

Answer: Yes, we foresee furniture requirements being required in future years.

1. Will contractor be expected to connect kitchenette sink?

Answer: No

1. What is office furniture quality expectation?

Answer: All quotations provided will be for mid-grade quality office furniture.

1. Will a slide deck be provided with additional details for each CLIN?

Answer: Yes, a slide deck with additional CLIN details will be provided on or before 7 June 2024.

1. What is the intention of award, i.e., will a contract be awarded to single contractor or multiple contract awards?

Answer: The Government intends to issue a minimum of one (1) but no more than three (3) Blanket Purchase Agreement (BPA) call(s) or Purchase Order(s).

1. How many attended the original site visit (4-5 June) and how many are scheduled for the two dates below?

Answer: We will post the sign in sheets for the site visit on www.sam.gov.

1. We are interested in providing you an RFP response for this notice however, we don’t see a Statement of Need nor drawings, only a list of CLIN’s. Can you please provide us what the end user is looking for? Office furniture, task chairs, guest seating, monitor arms, etc??? Did they perform market research or an RFI, to figure out exactly what they wanted?

Answer: Refer to “Attachment 1_Office Furniture_2024 Site Visit PPT” attachment for specific requirements broken out by CLIN. In addition, attachments are uploaded with information provided by end users. Chairs are included for situation awareness; however, quotations will not be provided with quantities listed as “x” in far-right column within each CLIN. Each requesting activity performed market research to determine requirements.

1. Will AutoCAD .dwg files be provided for each building/room/requirement?

Answer: Yes, .dwg AutoCAD files will be provided and attached to solicitation amendment.

1. I’m not sure we can provide 3D drawing by 3 July. We can provide catalogs and include our pricing. Would that be acceptable?

Answer: I am sorry, but the 3D renderings is what the customers will be reviewing for technical accuracy, so 3D renderings are mandatory.
