This is a Bid Packet and Notice of Solicitation of Bids for Reverse Auction issued by Smith County School District in Raleigh, Mississippi, for comprehensive automated athletic video capture, coaching video management, and livestreaming services. The District seeks a complete, turnkey solution serving three high schools (Mize, Raleigh, and Taylorsville) that includes six permanently mounted automated camera systems—one indoor gym system and one outdoor stadium system at each school—along with districtwide livestreaming, fan-viewing platforms, coaching-video management, and enhanced broadcast production capabilities. The solution must support concurrent operation of at least six simultaneous camera-originated broadcasts, integrate with or migrate existing Hudl coaching-video accounts without content loss, and provide all required hardware, licensing, configuration, installation, training, warranty, and support. The District released the bid on August 19, 2026, with the deadline for questions and clarifications set for September 2, 2026, at 12:00 p.m. CST. Unpriced proposals are due September 4, 2026, at 10:00 a.m. CST at the Smith County School District Central Office or electronically via www.centralbidding.com. The electronic reverse auction bidding event is scheduled for Tuesday, September 8, 2026, at 10:00 a.m. CST, with anticipated Board approval on September 14, 2026. All delivery must be completed by October 1, 2026. The contract term runs for three years from Notice to Proceed through June 30 of the following fiscal year, with up to four additional one-year renewal options at the District's sole discretion, subject to Board approval and satisfactory performance.

Pricing for the three-year service period will be divided into three annual payments based on pricing submitted during the reverse auction event; all costs including freight, shipping, installation, configuration, platform fees, warranty, and support must be included in unit prices with no additional charges permitted. The District requires liability insurance and workers' compensation coverage of $1,000,000 per occurrence, with the District listed as certificate holder, and bidders must comply with FERPA and applicable federal and Mississippi student-privacy and security requirements. Bidders must demonstrate a minimum of three years' experience providing automated sports capture or livestreaming services to K-12 schools or comparable organizations and provide at least three references for similar multi-venue implementations completed within the last five years. The District intends to award all items in their entirety to one vendor but reserves the right to award to individual bidders if deemed in the District's best interest. All equipment must be new, purchased from authorized resellers, with no grey market, third-party, or used equipment accepted. The District reserves the right to reduce or increase quantities, retract items, or reject any or all proposals based on funding availability, and either party may cancel the contract with 30 days' written notice.
