About this file

This document appears to be a clarification question and answer document related to a Request for Quotation (RFQ) for the procurement of 8,000 totes for the Office of the Ombudsman. The contract is for the Department on Aging and Alternative for the Older Adult. The desired delivery date is September 30, 2023 to align with the expiration of the Federal Grant funds being used. The totes are required to be shipped in case quantities of 100, and the solution is to send 1,200 totes directly to the Department on Aging instead of splitting the order between the two agencies.

The document also indicates that the supplier informed the agency that there is an opportunity to produce the totes overseas at a lower cost, but the lead time is 14-16 weeks. However, the agency has stated that this purchase must be completed by September 30, 2023, so the overseas production option may not be feasible. No other pricing terms, set asides, incumbents, or funding details are provided in the document.

Totes for the Office of the Ombudsman Q & A - Clarification

Question 1:

The RFQ says you want them one week after the RFQ closes? Is this true?

Answer 1:

This is the intended contract date and will be adjusted at PO if necessary.

Question 2:

With this quantity, 8,000, there is an opportunity to produce these overseas at a lower cost, but the lead time is 14-16 weeks. What is your desired in hands date on this request? Is that an option you would like to look at? Or I can look at the in stock option.

Please advise.

Answer 2:

This purchase is utilizing Federal Grant funds which expire September 30, 2023. Items should be delivered to the Department by this date.

Question 3:

My supplier has informed me the tote bags must drop ship in case quantities of 100. Please advise if we can up the quantities to and even 100 for the Ship to: Alternative for Older Adults (24 units requested) and IL Dept of Aging (1,076 units requested.) Or if we can just send 2,000 to IL Dept of Aging and they can forward to Alternative for older adults.

Answer 3:

If items need to be shipped in quantities of 100, the solution above is acceptable to send 1,200 to the Department on Aging (Agency) and not send any to Alternatives for the Older Adult.
