Contract Specific Definitions Q: How do you define what is OEM major work and what is OEM minor work?
A: OEM Major work is defined as work that meets both the definitions of OEM Maintenance and Repairs and Major Maintenance and Repairs.
OEM Minor work is defined as work that meets both the definitions of OEM Maintenance and Repairs and Minor Maintenance and Repairs.
Pursuant to Bid Solicitation Section 9.3, the following are definitions of OEM Maintenance and Repairs, OEM Parts, Minor Maintenance and Repairs, and Major Maintenance and Repairs:
“OEM (Original Equipment Manufacturer) Maintenance and Repairs - Maintenance and repair services provided by an OEM dealer, routinely, but not necessarily, using OEM parts. All OEM maintenance and repair services in this BID SOLICITATION are covered under Categories 1 through 6 (Price Lines 1 through 57).
OEM Parts - OEM parts are new parts, which are designed, manufactured and/or approved by the original equipment manufacturer and supplied by its dealer/distribution network for use in its equipment. Ford OEM parts, for example, are the parts designed, manufactured and/or approved by Ford Motor Co. and supplied by its dealer/ distribution network for use in its trucks.
Minor Maintenance and Repairs - Preventive maintenance services, such as lube oil and filter replacement and tire rotation, and repairs, such as windshield wiper repairs, will be considered minor services. Only upon mutual agreement between the Ordering Agency and the contractor on number of minor service labor hours shall the service work begin.
Major Maintenance and Repairs - Preventive maintenance services, such as tune-up and engine/transmission/brake service, and repairs, such as engine and transmission repairs, will be considered major services. Pricing Q: Please clarify how pricing will be determined for vehicle parts that may be required to complete a repair or service, for example, Brake Pads, Oil, Filters, Windshield Wipers, etc. The pricing sheet only has a line item for the labor hourly rate.
A: As prices for parts will vary per project, the State is not soliciting part-specific pricing for this Bid Solicitation. When completing work under this Bid Solicitation, Contractors will provide the parts that are needed, and use Price Line #72 to bill the Agencies for the costs of those parts needed and used in the repair/maintenance work.
Please refer to Bid Solicitation Section 4.4, Payment:
“Invoices will only be processed for payment after final acceptance of the services performed. Unless specified otherwise by the Ordering Agency, Contractors must attach an invoice for all services performed along with a separate invoice from their parts suppliers clearly indicating the price paid for all parts used in the services performed. All parts must be billed at cost, with no additional mark-up….
Ordering Agencies shall utilize Price Line #72 to pay for any parts required in a repair. See Bid Solicitation Section 4.2.”
