MEMORANDUM FOR: 56 CONS DATE 4 June 2025

SUBJECT STATEMENT OF WORK: Preventative Maintenance for Lenel Software
Quarterly Preventative Maintenance Agreement to perform inspections, testing and adjustments of 2 systems covering 235 card reader controlled doors for 14 buildings to include 14 surveillance cameras, perimeter door position switches, equipment enclosures and server/ storage equipment racks as required. The Maintenance Agreement should include: back-up of access control system configuration; archiving of cardholder database/transaction logs; back-up video management system configuration; confirm correct recording preferences (application reprogramming excluded); de-fragment all hard drives as needed; run system-wide diagnostic reports in order to identify nuisance alarms and/or faulty equipment (if needed, repairs performed pursuant to Service Agreement); and optimize video recording storage arrays as needed (application reprogramming excluded). The Preventative Maintenance Agreement should address any vulnerability assessments required to identify gaps in current electronic security protection scheme and Customer interview regarding needs analysis.

Quarterly inspections will be performed by a Lenel certified technician and United States citizen:
Preventative Maintenance should include the following:
1. Battery testing of all system backup batteries with replacement of these batteries as needed at no additional cost.
2. System checks including, error logs, false alarms, trouble conditions, badge printer errors
3. Reader and door hardware function testing.
4. Camera focusing, cleaning, and adjustments.
5. System backup configuration.
Options requested outside normal quarterly maintenance:
· System software configuration changes or additions to include updates to maintain currency
· Additional system use training and/or refresher training
· Custom report generation
· Equipment replacement (if equipment is provided by the Government)
· Design requests
Ability to provide Technical support Period of Performance 12 month base period with 4 quarters, with 4 option periods.
Documentation will include the following:
1. Quarterly reports after each inspection.
