Social Security Administration – Request for Proposal: SSA-RFP-14-1012, Digital Recording Hardware, Software, Customization, Installations, and Support Services.

RFP Questions and Answers: Questions received are in black, and SSA’s response is in red.

Equipment:

Fully configured Permanent unit –

1. How many microphones/ microphone bases are required for each separate fully configured unit?

The requirement is for the recording to capture all voices in the hearing. The number of microphones required will depend on the abilities of the system and equipment proposed.

2. What type of Microphones are required – Gooseneck – boundary – other? Specifications?

That will be dependent on the system and equipment proposed.

3. What type features on the Microphone bases (stands) are required?

That will be dependent on the system and equipment proposed.

4. Capturing audio from Telephone(s) – Stated: “capturing audio from three telephones or one telephone that can conference out to multiple participants.”

a. Standard analog and/or VoIP telephones? Brand & model #s?

a. VoIP: Nortel 1140E

b. Analog: AT&T Model 146, Model 958, or something similar (offices can have different versions of a basic analog phone)

b. How many powered computer speakers are required?

That will be dependent on the system and equipment proposed.

5. What are the lengths of the interface cables or other cables required - What are the “end to end connectors / connection(s)” required & the quantities required?

All of the below depends on the system and equipment that is proposed. The room dimensions and interface specifications are in section 2.3 of the SOW. Telephone specifications have been provided in the previous question.

a. Microphone cables to DSP

b. Telephone interface to DSP

c. Telephone interface to computer speakers

d. Video Conferencing line interface to DSP

e. USB cable to computer and to DSP

f. Cables for mix-minus outputs from DSP to Telephone interfaces with VTC units

g. Cable channels – how long and how wide

h. Other

6. Travel cases –

a. It states “the government host computer & surge protector” will travel in another government provided laptop case” – It that true?

Yes, we have our own bags for the laptops.

b. Per the attachments - Are the travel case requirements for the permanent and travel 1 solution the same case?

The travel case requirements of the new proposed solution are independent of the current solution at the sites. The new solution requirements are in section 2.7 of the SOW. The current solution's permanent unit does not travel. The Travel 1 has the same mixer inside of it as the permanent but is built into a travel case.

c. Are the weight restrictions still 20 lbs.?

Yes

d. Many hard cases will be around 10 lbs. without product.

2. Mobile case - requirements stated in section 2.7 of the SOW.

Fully configured mobile unit –

1. Is there more than one mobile configured unit?

Only one type of mobile solution is required. All requirements for the mobile solution are the same as the permanent solution with the additional requirements in section 2.7 of the SOW.
