About this file

This is a Notice of Intent to Certify Sole Source from the University of Mississippi Medical Center (UMMC), issued by CIO Kevin Yearick on September 23, 2026, regarding the renewal of a physician scheduling platform for the Anesthesiology Department. The procurement seeks to renew QGenda, a centralized scheduling program that provides physicians and residents with mobile access to call, work, and rotation schedules with real-time visibility and alerts for scheduling changes. The platform manages physician and resident call schedules while accounting for credentials and potential conflicts. First and second advertisements are scheduled for September 29, 2026, and October 6, 2026, respectively, with a response deadline from objectors of October 13, 2026, at 3:00 p.m. Central Time. The Notice of Award or No Award will be posted on October 13, 2026. UMMC justifies the sole source certification under Mississippi state law criteria, asserting that QGenda's proprietary logic, customizable features, advanced forecasting tools, real-time schedule updates, and third-party software integrations are unique in the market and unavailable from competing vendors. The vendor is also the sole provider of support and licensing for the product.

The estimated expenditure for the three-year renewal is $90,000.00, which UMMC states is within expected market pricing for comparable products. UMMC indicates that pricing has been compared against available market intelligence and applicable discounts have been pursued. The agency reserves the right to determine if additional enhancements, upgrades, support, or equipment are within scope during the certification period and may increase spending authority accordingly. Interested parties who believe the sole source certification should not proceed may submit objections using the Vendor Form available from the Mississippi Department of Finance and Administration Bureau of Purchasing and Contracting. Objections must include a signed certification statement and be submitted to solesource@umc.edu by the October 13, 2026, deadline. UMMC reserves the right to inspect any interested party's commodity for comparison purposes.

QGenda physician scheduling is a centralized scheduling program for physicians and residents which is easily manageable and viewable by all departmental associates which gives real-time visibility into physician scheduling.

2. Explain why the commodity/service is the only one (1) that can meet the needs of the agency/institution:

QGenda is a centralized scheduling platform that allows physicians and residents mobile access to call, work and rotation schedules and immediately alerts parties impacted by scheduling changes. QGenda helps manage physician and resident call schedules, taking into account credentials and circumstantial issues and alerting possible conflicts. Updates to schedules are viewable in real time. QGenda also utilizes proprietary logic to prevent scheduling gaps and provides advanced forecasting tools, resource planning and integrations with other 3rd party software that are not available from other vendors.

No other physician scheduling platform has these unique and customizable features. These customizations are also available from the vendor at no charge.

3. Explain why the source is the only person or entity that can provide the required commodity/service:

QGenda, LLC is the sole provider of support and licensing for this product.

4. Explain why the amount to be expended for the commodity/service is reasonable:

The estimated amount to be expended for the renewal of a Physician Scheduling Platform for our Anesthesiology Department (QGenda) is $90,000.00 for three years. Please be advised that UMMC will determine if additional enhancements, upgrades, support, or equipment are within scope during the certification period and may increase the spending authority accordingly. Should QGenda, LLC change their name during this certification period, then UMMC will determine if a recertification is necessary. This amount is within the expected price range for these products.

5. Describe the efforts that the agency/institution went through to obtain the best possible price for the commodity/service:

Pricing is compared against available market intelligence and identified discounts are pursued where applicable.
