About this file

This document is an Emergency Purchase Extension Approval from the State of Illinois Chief Procurement Office for General Services. The requesting agency is the Department of Corrections (DOC) Division of Stateville Correctional Center. The emergency contract is for Polar Leasing Company, Inc. to provide two portable freezer/cooler units for three months, with an extension from April 15, 2024 to July 14, 2024. The original emergency contract was issued due to the freezers and coolers at the facility not maintaining adequate temperatures, which would have disrupted meal preparation and storage. The extension is necessary because construction work is planned for the dietary kitchen, and the portable units are essential for daily kitchen operations.

The original emergency contract was for an estimated $16,344. The extension will also be for an estimated $16,344. Due to the specialized nature of the equipment, Minority Business Enterprise (BEP) participation was not feasible. A competitive procurement process is not currently underway, as the kitchen remodeling project is being handled by the Capital Development Board. Denial of the extension would result in the loss of perishable foods and inability to prepare meals in a timely manner for the facility.
