About this file

This is a specifications document for delivery and invoicing procedures related to the 2027 TSP Seasonal Chemicals contract opportunity for the State of Tennessee. The document outlines the operational requirements for product delivery, which shall occur on an as-needed basis at the discretion and direction of the Golf Course Superintendent. The vendor is required to coordinate all delivery times and quantities with the Golf Course Superintendent prior to shipment to ensure proper scheduling and inventory management.

The invoicing specifications establish clear procedural requirements for payment processing and vendor compliance. All invoices must be submitted directly to Cyndi O'Brien at Cyndi.a.obrien@TN.GOV and shall include the purchase order number, delivery location, and detailed descriptions of materials supplied, including product name, formulation, and quantity. Vendor invoices are expressly prohibited from including Early Order Program (EOP) terms or any vendor-imposed conditions, with only the contract document terms and conditions applying. Payment terms specify that invoices shall be submitted only for goods that have been delivered and accepted by the State, with payment due within forty-five days of receipt and acceptance of goods in accordance with Tennessee Code Annotated 12-4-703.
