About this file

This is a Statement of Work (SOW) for a conference room technology upgrade project at the Southeastern Power Administration (SEPA) headquarters in Elberton, Georgia. The project involves installing modern audiovisual and conferencing systems in two conference rooms: one small room (8-12 occupants) and one large room (20-25 occupants). The small room requires one Shure MXA901 ceiling microphone, one Shure ANIUSB-MATRIX USB audio interface, one Shure MXN5W-C speaker, one Crestron camera, one 70" Samsung 4K TV, and one Intel NUC 12 Pro computer with AV control interface. The large room requires two ceiling microphones, two speakers, the same audio interface and camera setup, two 85" Samsung 4K TVs, one Crestron DM NVX switcher, and one Intel NUC 12 Pro computer. Additional deliverables include removal of existing wall-mounted TV shadow boxes, drywall patching, new Cat6 Ethernet cabling installation, device configuration, labeled cable documentation, end-user training, and as-built system diagrams.

The Department of Energy solicitation (89503503262026) is structured as a Firm Fixed Price contract with an anticipated single award on a full and open competition basis. The NAICS code is 334310. Proposals must be received by 12:00 p.m. Eastern Daylight Time on April 30, 2026, with an expected award decision on May 8, 2026 and vendor start date within 30 days of award. The vendor close-out date is no later than three months from the start date. A non-mandatory but highly recommended site visit is scheduled for April 16, 2026 at 10:00 a.m., with RSVP required by April 14, 2026. The question deadline is April 21, 2026 at 2:00 p.m., with responses posted by April 23, 2026. Responses must include company information, SAM registration/UEI number, pricing, technical approach with specific methods and timelines, and past performance references with contract numbers and points of contact. Payment will be made in two milestone-based installments: one during procurement and one upon project completion, with invoices and progress reports required before each payment.
