Pre-Bid Site Meeting Questions and Responses

1. Is an option comparable to or exceeding Crestron acceptable? We utilize QSC.

Although we understand that there are comparable products on the market, we would like to stay firm on our specific products listed in the solicitation.

2. Will the televisions be used for long periods? The Samsung panels you specified are normal consumer TVs not designed for continuous, long-term operation. If so, a commercial panel is more appropriate for the space.

The TV's will be used for short periods of time.

3. You mention a 70" TV; however, TVs come in 65" or 75" so please confirm which you'd prefer.

The TV listed in the solicitation for the small conference room is a Samsung 70" Crystal UHD model number UN70U7900FFXZA 4K Smart

4. Would the client accept substitutes for Creston and Samsung products? We typically install systems utilizing Biamp or Qsys control systems. We also prefer utilizing Panasonic and Solum Commercial Displays.

Although we understand that there are comparable products on the market, we would like to stay firm on our specific products listed in the solicitation.

5. The camera specified in the document has tracking as a feature. Is camera tracking a requirement? We want to clarify the client is requesting this capability. The Camera specified in the SOW is required

6. Who is responsible for the holes in the wall when the panel or anything else is taken off or removed? Do we provide paint?

The contractor is responsible for the dry wall repair. SEPA will provide the paint.

7. Should all AV components be connected to the house network or are vendors free to create their own self-contained AV LAN for our equipment and only inner phase with yours where we need to?

We will have an AV LANS setup specifically with AV and we will provide you with the IP Addresses that you need to connect. If it is something that needs its own private network, then however it works we can go either way

8. What engine are we using? Mostly we use TEAMS and occasionally we will us ZOOM or an off brand of AV. Will SEPA be using a Laptop for that Kodak? The Intel NUC on the SW, we would like for that to be installed with hooking the mouse up to that and put all of the Kodak on that. We do not want to bring a laptop to the conference room. We use a license account for TEAMS. Visitors will login using the NUC. The NUC will be mounted behind the TV and outside a wireless keyboard will be used

9. Where does SEPA want the Camera placed? We want to capture the entire room. We want the camera to hang from the ceiling, but we are open to suggestions from the contractors.

We are very open to your professional input of where the camera should go and the acoustics of the speakers and microphone together. We will rely on your professional technical expertise.

10. Are contactors removing the power for the new display? Yes, SEPA will provide a surge protector for multiple outlets and then bundle together to route the wire line

12. What networks can SEPA operate in the building? We have 1 DOE Approved Network

13. Is it easier for the vendor to dial-into the system for remote support with controls that are double ended? SEPA has spoken to Cybersecurity and during the install you will access to load into the equipment, but after the install that access is cut off and will only be provide on a case-by-case basis if we have an issue. We will coordinate with the vendor to open up that access temporarily.

14. Do you have a mute button? We have network mute button that will be underneath the glass table and the other one will be on the table. No drilling through the glass.

15. Are speakers and microphones needed for everyone? We requested two ceiling mounted speakers, but you are the expert so if more speakers and microphones are needed; we will take suggestions. You can place that suggestion in your Bid if you’re deviating from specifications and explain why the extra speaker or mic is needed. We are open to getting a system that works

16. What is the purpose of the MDX if the TVs will be side-by-side with the NUC behind them?

We took recommendations from the companies that make these products, so if there is something on the list that SEPA does not need by all means specific that in the bid and explain why. If a visitor or someone outside of our organization brings their laptop and need to login, we do want that capability so then the MDX be required. We would like for them to have access or wire-in to use the speakers, mics, and TV. A HDMI is already in place for the laptop.
