Site Visit Instructions – Preventive & Predictive Maintenance Services (and other equipment services)
For York, Daikin, Marley, & Trane Chillers Gulf Coast Veterans Health Care System
JACC-Pensacola, FL, Eglin AFB, FL & Panama City, FL
Introduction: A site visit is being conducted for this acquisition. This site visit is for the benefit of all eligible contractors and is not being included in the solicitation to accommodate any one or more eligible offerors. The date & time for this site visit was chosen at random and is solely based on site availability and the availability of the personnel who will be conducting the site visit. Please also refer to FAR Provision 52.237-1 Site Visit which is contained within this solicitation.
Conditions: This site visit is for viewing purposes only and is intended to give potential offerors a “first hand” look of the locations of the equipment that will require service as stipulated in the Statement of Work. Contractor (CTR) questions shall not be addressed during the site visit and the “shouting out” of questions is not permitted while the site visit is being conducted. Please refer to the solicitation for instructions on how to submit questions about the solicitation to the contracting administrator. The terms and conditions of this solicitation (to include Statement of Work requirements) shall remain the same despite an offeror’s inability or unwillingness to attend this site visit when scheduled. An alternate site visit date or an additional site visit opportunity shall also not be provided to contractors, offerors, and/or other interested parties who couldn’t, wouldn’t, or didn’t attend the scheduled site visit when conducted.
Date: Site visit will be conducted on Tuesday, August 23rd at 8:00 am Central Time, Pensacola, FL.
Location: Joint Ambulatory Care Center (JACC), Pensacola, FL 790 Veterans Way, Pensacola, FL, 32507
Time: The site visit will begin promptly at the start time specified. Special accommodations will not be made for late attendees.
Duration: The expected duration of the site visit is approximately one (1) hour from 8:00 am to 9:00
am. Adequate time will be given for contractors to view and/or survey the site locations where the equipment is located.
RSVP For CTR Attendance: No more than two (2) representatives from each company, contractor unit, and/or organization are allowed to attend the site visit due to limited accommodations (and space) in the facility. Advanced notification (RSVP) of a contractor’s desire to attend the site is required no later than Monday, August 22nd, 2022, by noon. Send affirmative notification/RSVP requests to Logan Bazo, Healthcare Engineer, logan.bazo@va.gov, Work Desk Phone (850-912- 2150). It is imperative that the government receive advanced notice of site visit attendees to ensure proper accommodations by the government on the date, at the time, and in/at the (meeting) place specified. It is noted that Logan Bazo is not a contracting officer, contracting specialist, or contracting administrator and is therefore not able/not authorized to answer solicitation questions.

Contractor Meeting Point: On the day of the site visit contractors will meet at the following location at the facility (i.e. the rallying point): Main entrance lobby behind volunteer desk. Upon entering, please knock on the VA Police office door inside entrance vestibule and they will issue visitors badges and radio engineering to come escort the group from the main entrance lobby to the meeting room. A government representative will meet/greet site visit attendees at this location on or before the date and time specified.
Parking: On-site parking at the facility is limited, is subject to availability, and is not guaranteed. On the day of the site visit attendees should allow themselves enough time to find/secure parking to arrive on time for the site visit. It is recommended that site visit attendees do appropriate reconnaissance to get a “lay of the land” before the site visit date.
Uniform: The site visit will be conducted in an industrial setting. Formal, semi-formal, business attire and business casual dress is not recommended. While it is not anticipated that attendees will “get dirty” during their participation in the site visit an appropriate attire should be chosen for an industrial setting. As the site visit will involve a lot of walking to various areas of the facility, it is recommended that comfortable (but appropriate) shoes be worn.
Health Warnings and Other Important Information: Site visit attendances should be in an appropriate heath status to be physically able to walk for a 1 hour period (i.e. the expected site visit duration) without the need for rest periods. Unfortunately, it is not possible for the government to provide special accommodations for attendees who have (or who could have) mobility issues with respect to the physical exertion that should be expected (i.e. walking to/from the various site visit locations for approximately 1 hour in length). Water and food will not be provided by the government for site visit attendees. It is recommended that site visit attendees bring their own water and food if needed.
