About this file

This is a Request for Information (RFI) response document issued by Hammel, Green and Abrahamson, Inc. (HGA), the interior designer for the City of Dodgeville and Dodgeville Public Library in Jackson County, Wisconsin, addressing vendor questions regarding the Shelving Package bid component dated February 11, 2026. The document clarifies specifications for shelving installation across two levels of the library facility, confirming that alternates of approved equal products are accepted for the shelving package, while manufacturer engineered shop drawings showing accurate dimensions and specialty shelving types are required for HGA review to ensure compatibility with the project's functional and aesthetic intent. Field verification of dimensions prior to fabrication is highly encouraged, with vendors encouraged to coordinate with HGA to acquire critical dimensions and conduct site visits before installation. Installation is scheduled during normal business hours with building access coordinated through the library and General Contractor, while physical finish samples are required post-award during the submittal process. Factory-trained and certified installation crews must be documented as having received manufacturer training to meet warranty and installation requirements.

The RFI responses address logistical constraints including confirmation that shelving anchorage should follow manufacturer's standard installation instructions with in-wall blocking provided where feasible in gypsum walls, though some lower-level walls are concrete masonry units requiring vendor coordination. The document clarifies that sloped base shelves are intended for all shelving types, with end panels and canopy tops sized to coordinate fully with steel units and be at least one inch wider than overall shelving depth. Specific responses confirm the project is neither a prevailing wage nor union job, that the existing building is thirty years old with a brand-new addition, that receiving accommodations for semi-trucks cannot be guaranteed with only temporary street parking available, that on-grade exterior doors on each level provide loading accessibility in lieu of elevator use, that no loading dock or forklift access is guaranteed, and that vendors must provide their own installation equipment with a strong preference for those offering comprehensive equipment solutions. Installation instructions will be provided prior to the installation date, products cannot be staged on-site due to active construction, and badging requirements will be confirmed closer to the installation date.

Submitted Question Response

Are alternates accepted?

Furniture Package, alternates are not accepted. Products, finishes, and details have been selected and vetted with Dodgeville Public Library. Shelving Package, alternates of approved equal are accepted. Custom Casegoods, alternates not applicable

Please confirm that engineered or stamped shop drawings are not required for the shelving, end panels, and canopy tops, and that standard manufacturer shop drawings and product data will be acceptable for submittal and approval.

Manufacturer engineered/produced shop drawings are acceptable; however, shop drawings are requested to show accurate dimensions and specialty shelving types (mobile or unique depths). End panels and canopy tops shop drawings must clearly articulate compatibility for products with shelving. HGA will be reviewing such drawings for compatibility with functional & aesthetic intent.

Please confirm that shelving anchorage and installation requirements should follow the manufacturer’s standard installation instructions, and that no project-specific anchorage design or engineering calculations are required from the vendor.

Typical shelving anchorage per manufacturer requirements is acceptable. In-wall blocking has been provided where able in Gypsum Walls; however some lower level walls are CMU - vendor to coordinate/plan accordingly.

Please confirm whether the awarded vendor is required to perform field verification of dimensions prior to fabrication. Additionally, should any discrepancies between field conditions and the bid documents be submitted via RFI before installation proceeds?

Field Verification is highly encouraged. If not before fabrication; a site visit before install is very welcomed for smooth install process. Vendor can work with HGA to acquire necessary critical dimensions.

Please clarify any restrictions related to installation hours, building access, or sequencing requirements for the library—such as after-hours work, coordination with library operations, or noise limitations.

Please assume installation during normal business hours.

Building access will be coordinated with library and/or General Contractor.

Please confirm whether physical finish samples are required as part of the submittal process, or if manufacturer product data and finish cut sheets will be acceptable in lieu of physical samples.

Physical Samples are required (post-award) during submittal process.

Under Part 3 – Execution 3.0 Installation of Shelving A. Installers to be Factory-Trained and certified – Please provide the requirements as to be certified ?

“With your submission we are looking for confirmation/documentation that your installation crews have been trained by the manufacturer (or manufacturer’s approved sub-parties) to install their products to meet all necessary requirements, warranties, etc.”

DODGEVILLE PUBLIC LIBRARY - SHELVING BID PACKAGE RFIs

In the specifications, it calls for sloping base shelves, but we only see them referenced specifically in the description for SH-1d and the rest say ‘fixed base shelf’. Can you please confirm whether sloped bases should be included only for SH-1d, or if they are intended for all shelving types?

Intent for all shelving to include sloped bases.

The shelving frames add 2" to the overall depth.

So a 12" deep base shelf would result in a 14" overall depth (and 26" overall for double-sided units). Since this also affects end panel and top dimensions, can you please confirm the required overall depths?

Noted. Intent is for all end panels/canopy tops to be coordinated with steel and to fully capture/cover the steel units. Overall shelving width shall be at least 1-inch wider that overall shelving/frame depth. I.E. if a double face unit is 12+12+2 = 26"Overall, End Panel/Canopy Top shall be 27- 28"W.

For the SH-1d units, should we include exposed or concealed casters? Exposed casters are what you have shown in the specs and allow the units to be locked, while concealed casters do not. Please provide exposed/locking.

Manufacturer states they cannot create the 28” deep unit the way it is specified. ( bid specifies wanting 11” on one and 15” on the other).

Manufacturer does not currently have those base assemblies, and cannot create them. Will you accept a standard 24” D Base shelf for these 2 units ?

Please provide as close to the orignal specification as able.

24"D shelf in lieu of 15"D shelf will meet library's functional needs. Final proposed solution & dimensions will need to be evaluated with plan for final confirmation.

Is this a prevailing wage job? No.

Is this a union job? No.

Age of building? Existing is 30 years old. Addition will be brand new.

Is this a military base install? No.

Can current receiving area accommodate up to a 53ft Semi Truck?

No this is not promised. Brand new parking lot (at main floor) may not be accessible to semi and may not be available for use during install. Please plan to utilize/coordinate temporary street parking if over-sized truck is utilized.

Is the install on the main level?

Install occurs on two levels; each level has door on grade accessibility.

Please list widths of all doorways. 36"wide and larger.

Is there an elevator available? Dimensions?

Although an elevator exists between floors, we ask all vendors use on-grade exterior doors per floor. Dimensions not applicable as it should not be used.

Loading Dock available? No.

Do you have access to a fork lift? This is not guranteed.

Do you have access to a pallet jack? No.

Do you have access to a dollie?

Yes. (STRONG preference to vendors who can provide all necessary install equipment)

Time Restrictions on working time? Assume normal business hours.

Will other trades be present on site?

Yes. Assume General Contractor, Subcontractors, and Furniture Dealerships/Installers.

Can you provide a floor plan to quote? Already provided.
