About this file

This Sample Checklist document outlines product specifications and submission requirements for the Tempe Union High School District's Graduation Supplies RFP. The District is seeking qualified vendors to provide graduation-related products including diploma covers, custom stoles, cultural stoles, honor cords, graduation tassels, and medallions. Offerors must submit one sample of each item listed (or the closest equivalent) by December 1, 2026, at 2:00 p.m. Arizona time to the District's Purchasing Department at 500 West Guadalupe Road, Tempe, Arizona 85283. The sample checklist includes detailed specifications for each product category, such as a 6" x 8" diploma cover with smooth leatherette exterior and foil-stamped lettering, a 72" custom embroidered or imprinted satin graduation stole, a 4.5" x 72" handwoven Kente cloth cultural stole, single-color honor cords measuring 68" with 4" bulb tassels, high school graduation tassels with a free-moving four-digit year charm and 9" tassel length, and a salutatorian medal with ribbon featuring an antique brass finish and 2.6" diameter. Vendors must provide catalog item numbers or product links for all samples submitted, and note any items they do not offer.

Samples will be evaluated by the District's evaluation committee based on material quality, construction, customization, and overall appearance as part of the Past Performance and Product Quality criterion. The District reserves the right to display samples at school sites for student and staff feedback and inspection, evaluate durability based on condition after handling, and retain samples at its discretion. Failure to submit samples of offered items may result in a reduced proposal score, while failure to submit any samples may render the proposal nonresponsive. Offerors requesting sample return must provide return shipping instructions and prepaid return labels at no cost to the District. No pricing terms, set-asides, incumbents, or funding information is included in this checklist document.
