About this file
This document contains written questions and answers related to the Video Tape Archive Digitization Project, a state and local contract opportunity in Arkansas involving Pulaski County and the City of Little Rock. The project requires the digitization of approximately 30 different tape formats, with an unknown full inventory, including some damaged tapes that may require special care. The contractor will be responsible for creating various digital file formats, including preservation, mezzanine, and proxy files, as well as applying metadata, checksums, and QC processes. The project completion will involve returning the digitized assets to the State of Arkansas. The state has provided specifications aligned with Library of Congress standards, including preferred codecs, frame rates, and file structures. The contractor will be responsible for shipping logistics and any necessary tape baking prior to digitization. The state does not have a full inventory of the assets at this time, but will provide a list of formats and quantities, as well as identifiers, metadata, and condition information with the shipped assets.
Pricing terms, funding sources, and any set-aside requirements are not detailed within this document. The state has indicated that digital restoration will be handled separately from the core digitization services.

Are you using or considering Black Pearl or DIVA?
We currently have Storage DNA as a middleware application but it does not support LTO-9 at this time. We are not considering Black Pearl or DIVA.

LTO tapes come with a bar code/serial number on them. Are you using them?
The request is for the data tapes must be labeled with a unique LTO barcode label that matches the tapes formatted serial number.?
Can you please explain how an LTO that contains the contents of multiple tapes should be labeled on the LTO?
Not all LTO tapes have barcodes, but most do. We require them. The barcode should be Serial number specific. The LTO tape should only be labeled with the barcode. The files will be labeled based on a naming convention that ARPBS will supply for each asset.
7 2.4 (F)
The request is to create one set of digital files per physical unit.?
Can you explain what this means in terms of files on an LTO if the LTO can hold the content of 100 tapes? Define physical unit.
Physical unit = original tape. Each original tape will have the requires files created (i.e., proxy, mezzanine, or preservation files), photos, and any other ancillary data files possible. Those files are considered a set. A folder structure can be used with sets. Standard master source named folder with pertaining assets.

In 2.8, is the preference ProRes 422HQ or 10-bit Uncompressed 1920x1080?
Is all source content 29.97?
Are there any non-29.97 source materials?
Are all tapes that are not 29.97 be converted to that frame rate?
For Question 2.7, all of our specifications are in compliance with standards given to us by the Library of Congress to be able to particiapte in their archive project. For Question 2.8, ProRes 422HQ is our choice. We made a mistake putting the 10 bit Uncompressed standard in our requirements. All source content is 29.97.

Is the request to not maintain the fps and raster on the proxies?
Is the request for these smaller height/widths for a technical or file space reason?
Is there a hesitation for frame sizes that match the original?
We are working with several archive entities including the Library of Congress. These are the agreed upon specifications for proxy files.
