About this file
This Scope of Work document outlines specifications for a Mobile Rolling File Shelving System procurement by Alton Mental Health Center in Alton, Illinois. The vendor shall furnish and install a complete high-density mobile shelving system designed to maximize storage capacity within the Health Information Management (HIM) storage area. The system configuration consists of two single-sided end units (4 feet length, 15 inches depth) and five double-sided mobile units (4 feet length, 30 inches depth each), with a total system span of approximately 19 feet. The shelving height requirement is 81¼ inches minimum, with flexibility for vendors to propose taller systems if needed to meet standard manufacturing sizes or improve storage capacity, subject to facility approval. The vendor must conduct a site visit and field measurements prior to fabrication to verify total available space, track alignment, and clearance requirements, with final system length and track placement to be field-verified before production.
The system must incorporate heavy-duty steel construction with powder-coated finish in a neutral color, floor-mounted steel rail system with secure floor anchoring, adjustable steel shelves in 1-inch increments compatible with letter-size and legal-size files, and a minimum weight capacity of 200–300 pounds per linear shelf foot. The shelving system shall include manual crank or mechanical assist mobility with anti-tip design and aisle safety locks or anti-movement mechanisms. Full installation by trained personnel is required as part of the vendor's bid, with coordination of the installation schedule to minimize disruption to facility operations. The vendor is responsible for ensuring proper fit within the available space, confirming all measurements, verifying floor compatibility, and managing load distribution. Safety features, system alignment, leveling, operational testing, cleanup, and final inspection with system operation demonstration are included in the vendor's scope of work.
