About this file

This is a Request for Quotation (RFQ) solicitation document from the State of Maine for the purchase and installation of a high-density compact storage system. The solicitation seeks qualified vendors to provide and install storage equipment designed to maximize space efficiency. The project requires bidders to submit detailed quotations that address the technical specifications, delivery timelines, and installation requirements for the compact storage system. A pre-bid site visit is available to allow potential bidders to assess the installation location and understand the project scope. Responses to this RFQ must be submitted by the specified deadline, with award anticipated following a standard evaluation period. The contract will establish terms for both the equipment supply and professional installation services, with performance expected to commence upon contract execution.

Pricing shall be submitted as a firm, fixed-price quotation for the complete scope of work including materials, labor, and installation. The solicitation does not indicate any small business set-asides or preferences. No incumbent contractor information is provided in the available documentation. Bidders must demonstrate capacity to manage the logistics and coordination required for delivery and installation of the storage system within the specified timeframe. All costs associated with site preparation, equipment delivery, professional installation, and system testing should be included in the quoted price to ensure a comprehensive understanding of project expenses and budget allocation.

RFQ Solicitation 130912*200 Below is the list of questions collected during the bid process, either at the time of the walk-through(s) or submitted by email The answers to these questions are in no particular order. In addition all vendors will receive these same answers to all submitted questions.

Forklift

Are you able to get the weight from your contact?

The forklift weighs 5660 lbs.

Will the vendors be expected to move the wooden shelving which supports the canoes/boats at the 16 Edison Drive facility?

No

Would it be helpful to the bid to show how the safety systems work?

Please see bid specifications. Bids must meet bid specifications.

Component 1 – Installation of Existing Electrical Compact Storage System: Rail and Raised Flooring System:

The high density mobile shelving system was manufactured by Spacesaver Corporation, not by Systematics as misstated in the bid.

Is it the museum[’s] intention to accept other manufacturers' rails/deck/components for use in the existing system?

Yes, if the rail and deck components meet the bid specifications and are designed to accept the existing Spacesaver system.

Based on the above, would the State of Maine Museum be inclined to Sole Source this component of the bid to only an authorized Spacesaver Area Contractor?

A sole source option is not part of this bidding process Would the museum be willing to entertain options for the reconfiguration of this powered high density mobile shelving system, to make it more relevant for its new application?

No Would the museum be willing to entertain options for the conversion of this powered high density mobile shelving system to mechanical assist?

No, not at this time Please confirm what the standard plywood deck covering material should be (VCT, Painted, or Rubber) which will be installed between new rail components of this high density mobile shelving system.

Please see amended bid specifications.

Component 2 – Purchase and Installation of New Unit: Industrial Compact Storage System

Is it the museum's intention to have the ability to drive a forklift not only on the concrete floor of the 10 Water Street facility but also over the painted plywood decking laid between the surface mounted mobile rails?

Please see the bid specifications (part h - Solid wood flooring is required between the rails,…capable of supporting 3,000 lb motorized pallet handling equipment and 2,000 lb load).

If so, given the information above, would the museum be open to rail systems that don't contain a wood deck, but maintain an ADA elevation? (i.e. surface mount the rails with integrated ramps or to embed the rails in the concrete?

No If the existing shelving found at both Hallowell, ME locations cannot be safely mounted on mobile carriages, or in instances where new shelving is needed, please confirm the shelving type desired:

If the museum purchases new shelving, it will be pallet racking.

Given the specified height for the uprights of 12 feet, how many tiers of shelves do you wish to set as a standard per unit for the initial installation?

As stated in the bid document, the height of the uprights must take into account ceiling and equipment clearances. Pallet rack shelving tiers can be calculated at a minimum of 3 tiers per unit.

Do you have a preference in what the depths should be? If so please be specific as to desired depths and rough percentages of the systems to be made up of a particular desired depth.

See bid specifications.

What typically would be the maximum number of people and/or actions requiring access into the mobile system at any one time?

Two [Vendor] has an extremely high quality industrial/warehouse specific mobile shelving system well suited to your needs in 3 different models capable of accommodating 7,000#’s, 16,000#’s or 30,000#’s per carriage wheel, but it does not meet one particular specified characteristic of your RFP. As an alternate, would the museum consider this product?

The specifications of the RFP must be met.

We understand that you would like to be able to expand the current system over time to maximize your now centralized storage warehouse space. Would you consider this a high priority in the design considerations of the current system to be proposed?

Please see bid specifications.
