About this file

This is an addendum to a Request for Proposals issued by Lee County, North Carolina for comprehensive moving services related to the relocation of the Main Library collection. The RFP 4841-02-26 seeks packing, transportation, and safe delivery of approximately 100,000 items from the current 18,000-square-foot facility on Hawkins Avenue to a new 35,000-square-foot facility on Bragg Street. The collection includes physical books, audiobooks, DVDs, magazines, 30 desktop computers, office furniture for 31 staff members, and miscellaneous equipment such as mobile shelving units and lockers. A mandatory site visit was originally scheduled for January 26, 2026, at 2:00 PM at the current library location. Proposal submissions are due by February 9, 2026, at 3:00 PM EST to the Lee County Finance Department, Attn: Tammy Gill, 115 Chatham Street, Suite 301, Sanford, NC 27330. Project commencement is anticipated after March 24, 2026, following consultant interviews scheduled for the week of February 9, 2026.

Addendum #2 addresses weather contingency procedures for the January 26, 2026 site visit. If Lee County Government issues a department or building closure due to inclement weather, the scheduled meeting and building tour will be rescheduled to a date and time to be determined, with no virtual option available. In the event of an emergency closure, an addendum will not be issued in advance; instead, closure updates and related information will be posted to the Lee County Libraries' Facebook and Instagram accounts (@LeeCountyLibrariesNC). A subsequent addendum with the rescheduled date and time will be released following any closure event. Vendors must submit two paper copies of proposals in sealed envelopes, with electronic submissions explicitly prohibited. Evaluation will be based on total cost (30%), ease and suitability of proposed solution (30%), vendor reputation and experience (20%), insurance and guarantees (10%), and proposal clarity (10%).

Addendum #2

4841-02-26 RFP for the Lee County Main Library Collection Move

Due: February 9, 2026

This Addendum is to be included in the Request for Proposals (RFP) and modifies the original RFP.

Lee County Finance Department Assistant Finance Director / Procurement Agent

Attn: Tammy Gill 115 Chatham Street, Suite 301

REQUEST FOR CLARIFICATION

1. With the weather forecast calling for possible snow this weekend will this be rescheduled? Will there be a virtual option to this walkthrough or if there is a chance for another onsite walkthrough as well later?

A. If Lee County Government issues a department/building closure due to inclement weather, the Lee County Libraries will be included in this closure. The meeting and building tour scheduled for the building on Monday, January 26, 2026, at 2:00 PM will be rescheduled for a date and time to be determined. A virtual option will not be available.

Due to the timing of an emergency closure, an addendum will not be issued in advance. For closure updates and related information, please like and follow the Lee County Libraries on Facebook and Instagram (@LeeCountyLibrariesNC). If necessary, an addendum with a new date and time will be released following the closure event.
