About this file
This document is a Request for Proposals (RFP) Amendment #1 issued by the Tennessee Treasury Department for Pension File Death Match and Obituary Match Services for the Tennessee Consolidated Retirement System. The RFP (#30901-63626) was originally issued on August 26, 2025, with this amendment updating key dates and contract terms. The procurement timeline includes several critical milestones: a pre-response teleconference on September 3, 2025, a technical response and cost proposal deadline of October 2, 2025, respondent oral presentations scheduled for October 20-21, 2025, and a contractor signature deadline of November 13, 2025. The state plans to complete technical response evaluations by October 13, 2025, and schedule oral presentations for finalist respondents.
The amendment includes significant modifications to two sections of the pro forma contract: Section A.5 regarding Death Match Search for Inactive Files, and Section E.5 concerning Personally Identifiable Information (PII) handling. The contract emphasizes strict data protection requirements, including confidentiality provisions aligned with the Gramm-Leach-Bliley Act and other privacy laws. The contractor will be responsible for secure data handling, reporting any unauthorized disclosures within 24 hours, and potentially providing no-cost credit monitoring services if a data breach occurs. The amendment adds signature lines for both the contractor and the State Treasurer, with all revisions becoming effective immediately upon release.
