About this file
The document is a Proposal Submittal Form for Request for Proposal (RFP-25-034-KY) issued by the City of Altamonte Springs, Florida, seeking proposals for a Conference Room Audio-Visual System Installation. The RFP solicits comprehensive proposals for designing, configuring, installing, and providing staff training for a new audio-visual system for the Lake Lotus Conference Room. Key dates include a mandatory site visit on Friday, May 2, 2025, from 9 a.m. to 10 a.m. at 950 Calabria Drive, Altamonte Springs, with questions due by 11 a.m. on Monday, May 5, 2025, and proposal submissions due by 11 a.m. on Friday, May 16, 2025. The project requires completion within six weeks, with anticipated City Commission approval of the evaluation committee ranking scheduled for Tuesday, June 17, 2025.
The Proposal Submittal Form mandates that bidders provide detailed company information, including Federal Employer Identification Number (F.E.I.N.), DUNS number, and contact details. The City reserves the right to accept or reject any proposals deemed in the best interest of the City. While a specific budget is not disclosed, the city will provide compensation through a lump-sum method with progress payments and requires a two-year warranty with 24/7 support. The evaluation will use a point-based system assessing project approach, audio-visual design, work plan, budget, and references, with a focus on technical capabilities and implementation strategy. The RFP specifies detailed equipment requirements, including QSC audio processing equipment, PTZ network cameras, Sharp interactive displays, and Sennheiser microphone systems, and requires proposers to demonstrate at least five years of relevant experience.
