About this file

This document is an Addendum to a Request for Proposal (RFP) issued by the North Clackamas School District 12 in Oregon's Clackamas County for a Cell Phone-Free Classroom Solution, Solicitation No. 24-105. The RFP seeks proposals from qualified providers to address the issue of students using personal cell phones during class. It clarifies that the district is requesting proposals for a solution for approximately 9,600 students in grades 6-12, and that a full rollout is anticipated in the 2024-25 school year. The contract duration is expected to be one year with the option to renew annually, though budget has only been allocated for the first year.

The addendum addresses several questions from potential bidders, including the district's preference for sustainable ongoing costs, the possibility of a demonstration during the interview process, and the format for the Letter of Transmittal. Bidders are encouraged to include details of any available pricing options in their proposals, and the district will preference organizations with sustainable ongoing costs while recognizing that initial costs may be higher for initial implementation.

Addendum No. 1 RFP Cell Phone-Free Classrooms

RFP No. 24-105 Date: April 17, 2024 To: All Document Holders

The following information does not change the details of the Request for Proposal and is provided for informational purposes only.

Question 1: Is the intent to have a storage device for each of the 17,000 students?

Answer 1: The district is requesting proposals for addressing the need. Some responses may not involve a storage device so this question should be addressed in your proposal. The district is only requesting a solution for secondary schools (grades 6-12) which is approximately 9,600 students.

Question 2: Will you require a demonstration before awarding?

Answer 2: A demonstration is not anticipated but if it is needed, it will be a part of the interview process.

Question 3: Do you have a required format for the Letter of Transmittal?

Answer 3: The format should be in Proposer’s chosen format ensuring it includes all required information listed in the RFP.

Question 4: How long will the awarded vendor be under contract with this RFP?

Answer 4: The contract duration is anticipated to be one year with the option to renew annually thereafter. Anticipated implementation will be at the start of the 2024-25 school year. While the District intends for this to be a multiyear contract, budget has not yet been allocated beyond the first year.

Question 5: What is the total number of students you are looking to implement a solution for?

Answer 5: Total number of grade 6-12 students is approximately 9,600 students.

Question 6: Is there a set budget for this initiative that we should consider when building our cost proposal in relation to the number of students?

Answer 6: District will preference organizations with sustainable ongoing costs while recognizing initial costs may be higher for initial implementation.

Question 7: If multiple pricing options are available, should we include them?

Answer 7: Please include details of any available pricing options in the proposal.

Question 8: Do you intend to do a full rollout of the solution in Year 1 or stage the efforts over a few years?

Answer 8: District anticipates a full rollout in 24-25.

The date and time for submission remain the same.
