About this file

Addendum 3 for RFP# 2025-07 is issued by the Town of Farragut, Tennessee, addressing an Enterprise Resource Planning (ERP) Software System and Implementation Services procurement. The document provides a detailed timeline for the RFP process, with key dates including RFP issue on 09/26/2024, a non-mandatory bid meeting via TEAMS on 10/16/2024, proposer questions deadline of 12/12/2024, proposal due date of 12/19/2024, and final contract signing anticipated on 02/06/2025. The town seeks a cloud-based, integrated ERP system to serve multiple departments, with modules covering finance, human resources, payroll, procurement, asset management, and employee self-service functionalities.

The addendum clarifies user requirements, indicating the town currently has 71 full-time employees and 28 part-time employees, with potential growth to 120-130 total employees. All employees and approximately 30 retirees should have access to an employee self-service system, particularly for benefits management. The town specifies that employees should be able to access various systems based on their job descriptions, with the goal of implementing a comprehensive, flexible ERP solution. All communications regarding this RFP must be submitted to Anissa Pratte, Staff Accountant, who is the sole point of contact for the procurement process.

Addendum 3

RFP# 2025-07

Enterprise Resource Planning (ERP) Software System(S) and Implementation Services

The proposer acknowledges this addendum shall modify and become a part of the original solicitation document. The Proposer further acknowledges that should it be determined at the time of the bid opening that the Proposer has failed to acknowledge receipt of ALL issued addenda; the Proposer’s Bid submission shall be rejected. The Proposer understands that any verbal representation made or assumed to be made during any oral discussion held between Proposer’s representatives and any Town personnel is not binding. Only the information issued in writing and added to the specifications by an official addendum is binding.

Question 1: I’m hoping you can provide some clarification on the breakdown of the users required by the Town. I realize this question was asked and answered in both Addenda 1 and Addenda 2, but we are seeking further clarification, please.

Are we correct in assuming that there is overlap between the Self Service Users and the Core Users? More specifically, does the 120-130 number estimation for Self-Service Users (that was quoted in Addenda 1, question #4) include the 71 full-time employees? As well as the 28 part-time employees and the 30 retirees? If so, this would make the 71 full-time employees both Core Users and Self-Service Users, but the 28 part-time and 30 retired employees only Self-Service Users. Is that correct?

Response 1:

71 Full-time employees 28 Part-time Employees 99 Total Employees currently.

Potential to grow to over 120-130 total employees; part-time and full-time.

Approximately 30 retirees

All employees and retirees should be able to access an employee self-service system (we expect this system to handle benefits).

All employees should be able to access all other systems in di erent compacities based on their job description.
