About this file
This document is an Addendum to a Request for Bid (RFB) issued by the City of Madison Finance Department for Metro Fuel 2025 Diesel. The bid solicits proposals for approximately 882,000 gallons of diesel fuel for the City of Madison Metro Departments, with a contract period from January 1, 2025, through December 31, 2025. The addendum provides responses to 32 questions from potential bidders, covering topics such as bid opening procedures, documentation requirements, delivery schedules, and specification details. All documents, including forms A-E, are due on September 19, 2024, at 10:00 AM CST.
The current contract is held by HTP Energy, which has been the sole supplier for the city. The pricing will be based on a fixed price contract with the NYMEX settlement price, plus additional fees including state excise tax, petroleum inspection fee, oil spill tax, and other applicable taxes. The bid includes provisions for winter additives (typically used from October through March) and allows for potential split deliveries between two locations. There is a 1% local vendor preference, and the city reserves the right to verify vendor inventory. The contract does not guarantee the full 882,000-gallon volume but will issue a purchase order for the entire amount, with deliveries scheduled three times per week to the Madison Metro facilities.
