About this file

This is a bid sheet attachment for a re-bid off-site data and document storage service in Kentucky, specifically RFB 758 2600000672 with a contract term ending June 30, 2026. The solicitation seeks vendors to provide comprehensive storage and retrieval services for approximately 80 cases currently housed at an existing contracted facility. Services required include work week pickups and deliveries (Monday-Friday), weekend pickups and deliveries (Saturday-Sunday), and emergency rush delivery services (7x24) across three locations: Franklin County, Jefferson County, and Boone County, which serves as an alternate data center location. The scope of work encompasses standard box storage, large/oversize box storage, non-standard and bulk item storage, climate-controlled shelving for paper records, high-security environment-controlled vaults for backup media and tapes, initial inventory intake processing, and data entry and indexing labor services. Bidders must submit fully loaded, not-to-exceed costs for each service category and location without any modifications to the bid sheet format, or their proposals will be deemed non-responsive.

The pricing evaluation is structured with a maximum of 80 points based on cost submissions for storage and delivery services across the three county locations, with separate point allocations for work week delivery (10 points), weekend delivery (5 points), and emergency delivery (5 points). Additional 50 points are allocated for monthly storage costs across nine different service categories, including standard and large box storage, specialized item storage, climate-controlled shelving, high-security vaults, and labor services. Bidders must demonstrate a minimum of five years of experience providing the requested services to be considered responsive; those meeting this threshold receive no points, while vendors exceeding five years receive up to 20 maximum points based on years in service, not to exceed 20 years total. Archival storage services specifically do not require 24-hour 365-day access, vendor inventory management, or rush delivery capabilities.
