About this file

This is an email correspondence regarding insurance requirements from the Collier County Risk Management Division to the Contract Administration Specialist for two related holiday decoration service quotes. The Immokalee Community Redevelopment Area (CRA) is soliciting quotes for seasonal installation and removal services at Zocalo Plaza in Immokalee, Florida, with two distinct service components: (1) rental LED light strands wrapped around palm trees with all necessary electrical materials and maintenance, and (2) pickup, installation, and removal of CRA-owned decorations from a storage facility. Additionally, a separate quote is required for a 20-foot artificial Christmas Tree with white LED lights and colorful holiday decorations supplied by the vendor. All quotes must be submitted via the OpenGov platform by April 30, 2026, with installation required on or before November 21, 2026, and removal not before January 6, 2029. The contract term is three years, commencing November 21, 2026, through January 6, 2029, with two optional one-year renewal periods at the County's discretion. Award will be made to the qualified vendor with the lowest annual lump sum price, which must be all-inclusive of installation and removal costs.

The winning vendor must provide proof of E-Verify registration, a notarized Affidavit Regarding Labor and Services, and Certificates of Insurance prior to Purchase Order issuance. Required insurance includes Workers' Compensation with statutory Florida limits and all federal requirements, with proof of coverage or a Certificate of Exemption from the State of Florida required. Collier County must be named as an Additional Insured on the Commercial General Liability certificate where applicable, with 30-day cancellation notice required. Payment will be made in two installments: 50 percent upon invoice submission after installation completion and the remaining balance upon invoice submission after removal and storage. The vendor is responsible for all road maintenance of traffic if necessary, and any repairs or maintenance required within 48 hours of installation shall be performed at no additional cost to the County. Subcontractors must comply with identical insurance requirements and provide certificates of insurance to the County.

Hi Kristofer, You can use the same insurance requirements as provided last year. Since the scope is the same, it is not necessary that Risk assigns insurance every year as the same insurance requirements apply.

Let me know if you can not find the one I sent you last year.
