About this file
This is a Questions and Answers document for the Illinois Department of Agriculture's (IDOA) bid for electrical supplies for the Bureau of Building and Grounds. The document addresses vendor inquiries about product substitutions, pricing, and quantity specifications for various electrical equipment and supplies. The document clarifies that vendors can substitute equivalent brands for items that are not marked with an asterisk or grayed out, items showing zero quantity should be priced as quantity of 1, and certain items marked in gray cells do not allow substitutions.
Regarding pricing terms, the document addresses price fluctuations, particularly for commodities like copper wire that experience regular 5-10% price variations. After the initial one-year contract period, vendors may request price adjustments if their costs increase by more than 5% from the previous year. Such adjustments require written proof of the increase and approval from IDOA. The document also addresses concerns about obsolete items, such as metal halide bulbs, indicating that current specifications should be priced as listed, with alternative options to be considered when items are no longer manufactured.
