The contractor shall provide all necessary personnel, tools, parts, labor, OEM consumables (excluding paper), service reports, and on-site repairs during business hours (8:00 a.m. to 5:00 p.m., Monday–Friday, excluding Federal holidays) for three Xerox devices: two VersaLink 7030 units (Serial Nos. 9TX079983N and 9TX080549N) located at the Warehouse and Security offices, and one VersaLink 7100 (Serial No. QPH235195) at the Visitor Center Admin facility.
The contractor must perform quarterly preventative maintenance on each copier to improve or maintain performance, identify issues before failure, restore calibration and image quality, and ensure firmware updates. For repair services, critical repairs (device completely inoperable) require on-site technician arrival within one business day, while routine repairs (performance degradation but operational) require arrival within three business days. The contract specifies a minimum 95% monthly uptime standard per device, excluding scheduled maintenance and facility-caused outages. If repairs exceed five business days, the contractor must provide a comparable loaner unit at no additional cost within two business days. The contractor must furnish all OEM parts and consumables including toner, imaging units, drums, transfer belts, fusers, rollers, waste toner containers, and maintenance kits. Service reports are required for each visit detailing work performed, parts replaced, meter readings, and firmware versions, with quarterly confirmations listing PM completion dates and maintenance needs. Invoicing is firm-fixed-price per year, with quarterly invoices equaling one-quarter of the annual amount and referencing contract number, billing period, PM completion confirmation, and repair summaries.
