About this file

This is a Performance Work Statement (PWS) for copier/printer preventative maintenance and repair services at the Glen Canyon Field Division facilities in Page, Arizona. The Government owns three Xerox multifunction devices (two VersaLink 7030 models and one VersaLink 7100) requiring annual on-site preventative maintenance, as-needed repair services, and full provision of OEM parts and consumables (excluding paper). The contract structure is firm-fixed-price per year with a 12-month Base Year plus four optional 12-month option years, exercisable at the Government's unilateral discretion.

The contractor must perform yearly preventative maintenance on each copier to improve/maintain performance, identify issues before failure, maintain OEM specifications, restore calibration and image quality, and ensure firmware updates are current. For repair services, the contractor must use OEM parts and restore performance to manufacturer specifications. Response-time requirements are strict: contractors must acknowledge service calls within 60 minutes and provide an estimated time of arrival. Critical repairs (device completely inoperable) require on-site technician arrival within 1 business day; routine repairs require arrival within 3 business days. All service occurs Monday–Friday, 8:00 a.m.–5:00 p.m., excluding Federal holidays. Each copier must maintain 95% minimum monthly uptime (excluding scheduled preventative maintenance, Government-caused delays, and facility outages). If repairs exceed 5 business days, the contractor must deliver a comparable loaner unit within 2 business days at no additional cost. Deliverables include detailed written service reports for each visit and yearly preventative maintenance confirmations. Invoicing is consolidated monthly and must reference the contract number, billing period, PM completion confirmation, and repair summaries.
