About this file
This document is a Public Records section from a City of New Smyrna Beach solicitation that outlines the requirements for handling public records during a contract. The document details the contractor's obligations under Florida Statutes Chapter 119, specifically mandating that contractors must maintain, preserve, and potentially transfer public records generated during the contract term.
The document provides specific instructions for contractors, including keeping public records required to perform the service, responding to public records requests by providing copies or allowing inspection within a reasonable timeframe, ensuring confidential records remain protected, and managing records upon contract completion. Contractors must be prepared to transfer records to the public agency at no cost and potentially destroy duplicate records. For electronic records, contractors must provide them in a format compatible with the city's information technology systems. The City Clerk can be contacted at 386/410-2630 or CLERK@CITYOFNSB.COM for any questions regarding public records requirements.
